Scope of Work & Objectives:

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises and helps people whose lives and livelihoods are shattered by conflict and disaster to survive, recover, and gain control of their lives. Founded in 1933 at the request of Albert Einstein, the IRC works with people forced to flee from war, conflict and disaster and the host communities which support them, as well as those who remain within their homes and communities. IRC’s Global Human Resources team, currently spanning 180 team members and 10 subdepartment teams world-wide, supports IRC’s global workforce of approximately 22,000 staff, across a variety of People & Culture functions and strategic projects. The Human Resources Manager will be responsible for administrative support and communications on behalf of the Global HR Department and the Chief Human Resources Officer (CHRO). The Human Resources Manager will be expected to strengthen a well-functioning, efficient and results-oriented department, by being accessible, responsive, and problem solving on behalf of the Global HR team. Their duties will include shared department activities and will provide project and activity support to senior colleagues across all of HR’s functions. The position is responsible for managing a range of administrative support including management of the HR department’s everyday logistics, meetings and conferences, invoices and expenses, travel arrangements, communications, community building, and other special projects.

Key Responsibilities:

Administrative Support

  • Ensure a productive, welcoming, and inclusive working environment for all HR staff and of all NYHQ staff more broadly
  • Manage the daily workflow of the CHRO, including scheduling and managing appointments
  • Track and submit invoice payments and company card expenses for the HR department
  • Ensure meetings and internal conferences run smoothly and effectively, by organizing meeting logistics, preparing meeting materials, preparing minutes and actions, coordinating follow-up, and booking facilities
  • Provide administrative support to all Global HR leaders and team members by assisting them in navigating organizational policies, NYHQ processes, and assisting in coordinating travel arrangements
  • Collaborate with Global Office Services and other peer Department Managers to plan cross-functional leadership meetings as well as NYHQ-wide activities and events to promote a positive work environment and to encourage interaction within and across teams
  • Co-lead IRC’s summer internship program
  • Manage and/or provide support on special projects and activities across HR’s remit, including

Communications

  • Play the role of a key department liaison by leading on internal communications for the Global HR team, including creating organization charts and keeping department specific documents and distribution lists up to date
  • Collect and disseminate biweekly updates from the organization’s Senior Leadership Group on new changes and initiatives that are taking place across the organization
  • Manage and update content of HR-relevant pages on RescueNet (IRC’s intranet)

Demonstrated Skills and Competencies:

  • Bachelor’s degree or equivalent
  • Minimum 2 years of full-time professional work experience, with at least 1 year of experience working as an Administrative Assistant to senior leadership or in a comparable role
  • Demonstrated interest in the humanitarian sector and the IRC’s mission
  • Excellent organizational and time management skills and demonstrated ability to effectively prioritize
  • Excellent presentation and meeting arrangement skills – a good understanding of how to create high impact settings
  • Positive, resourceful, and flexible demeanor with ability to problem solve, and work independently and proactively in a fast-paced environment with limited information
  • Proven attention to detail: the ability to track and process multiple details simultaneously and accurately, and keep multiple projects moving forward
  • A very strong customer service-orientation and flexibility, commitment to help and support in a fast-paced, fast-changing environment
  • Ability to communicate effectively with internal and external stakeholders with tact and diplomacy, both orally and in writing
  • Strong interpersonal and relationship-building skills, ability to maintain positive working relationships at all organizational levels and with people from all over the world
  • Ability to use sound judgment in maintaining confidential information
  • A focus on personal growth and development, and a willingness to take on new initiatives and special projects across the HR function
  • Strong computer proficiency in Microsoft Word, Excel, Power Point and Outlook; PowerBI, Workday or another HRIS proficiency is a plus
  • This is a fulltime onsite role in New York City

We offer a comprehensive and highly competitive set of benefits. Compensation:

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
