Position Overview

Provides pivotal support to the Executive Team and Human Resources Department by supporting them in aligning strategy with the business needs and goals. This role will coordinate with HR Director to leverage capabilities in support of business initiatives and leadership needs.

ESSENTIAL DUTIES & RESPONSIBILITIES include the following and all other duties assigned:

  • Lead HR electronic file project
  • Coordinate with talent acquisition team to process position requests and approvals
  • Assist the HR team in talent acquisition efforts including candidate sourcing, recruitment, conducting structured interviews
  • Prepare and maintain documents and records related to HR processes such as hiring, termination, leave of absence, transfers, and promotions
  • Help facilitate onboarding processes such as new hire orientation and compilation of necessary records
  • Maximize executives’ time by making travel arrangements including flight and hotel bookings
  • Assist marketing by reviewing, drafting, documents and materials prior to publication
  • Work with social media team to update websites, job postings, and other points of interest to outside audiences
  • Create PowerPoint presentations
  • Conduct research on various topics as needed or directed by leadership.
  • Assist with the monitoring and verifying documents for retention requirements and assisting with all I-9-related inquiries
  • Heavy calendar management with independent decision planning based on priorities, which require forward-thinking & strategizing.
  • Plan and coordinate internal meeting logistics, video & audio (Microsoft Teams) conferences, meeting rooms, catering, and guest arrival arrangements.

Qualifications, Skills & Abilities

  • Maintain a high degree of confidentiality.
  • Excellent follow-up with take initiative attitude
  • Strong attention to detail and excellent problem-solving skills.
  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Effective communicator, both verbal and written; ability to engage with all levels of leadership and employees
  • Proven ability to multi-task effectively in a fast-paced environment
  • Students studying: Human Resources, Business Management, Org Psychology
