Background:

Woman Support Association is a humanitarian, developmental, and nongovernmental organization that was established in 2013 and officially registered in Turkey in 2015. All projects implemented by the Association in Syria and Turkey aim to build a better life for women and empower them so that they can face problems and challenges in a way that maintains their dignity and respect.

Overall Role: Under the supervision and direction of the Chairman, the HR and S&S Officer is responsible for managing & leading the department and staff to ensure timely and effective operations support. S/He must also provide general administrative support, plan and organize the tasks of the human resources department, and make recommendations on changes in order to improve efficiency and effectiveness. The holder of this position must maintain the confidentiality of information. In addition to that, s/he hast to lead the safety & Security team in Syria nad provide regular updates on targeted areas situation.

Duties & Responsibilities:

HR Support:

• Prepare monthly payroll register and share with the legal consultant and Finance department. • Follow up with the legal conusltant to ensure receiving all payroll related documents from net to SGK payments on time and share with the finanace department on time. • responsible for completion of work permits applications. • Assist the HR assistant in Syria and HQ staff in monitoring the process of completing timesheets: overseeing the delivery of monthly worksheets; maintaining records of hours and vacation requests. • Lead the recruitment process: preparing longlist, printing resumes, contacting candidates, preparing, scheduling and organizing tests and interviews in coordination with the hiring manager. • Follow up and ensure that all documents for newly hired employees are completed. • Identify matters that increase efficiency and effectiveness in the human resources department • Organize meetings with the team to update the human resources department • Ensure the confidentiality of all information related to the staff of the Women’s Support Association. • Follow up the necessary procedures for new contracts (including completion of all documents requested by Turkish labor law), contract extensions, employee transfers, promotions. • Respond to inquiries related to employees and provide services related to human resources. • Ensure that personnel files are organized according to donor and inspection standards and requirements. • Ensure that all employees implement HR policies and procedures • Complete employment termination papers in accordance with WSA policy. • Attend the HRWG meeting

Reporting:

• Prepare regular safety and Security reports and incidents reports. • Prepare monthly staff costs aloocations.

Communication, coordination, other duties: • Coordination with the staff of the Support and Programs Department as required to complete the tasks on time. • Respond to inquiries and inspection requests in a timely and professional manner • Communicate and follow up with the sub-implementing partners to ensure that their documents meet the requirements of the donor and WSA policy. • follow up with sub- implementing partners to ensure on time completion of staff costs reports.

Protection: • understand and be aware of the content of the protection policy; • Sign and understand the updated Code of Conduct and Protection against Abuse and Exploitation Policy • Lead the PSEA training for staff and the investigation process • Attend the PSEA monthly meeting • Reporting concerns of suspected exploitation or abuse in accordance with reporting procedures

Competencies, Skills & Experience:

  • At least 3 years experience in HR field
  • Ability to work under pressure and punctuality.
  • Very good at English.
  • Good organizational skills, time management skills, and setting work priorities
  • Ability to negotiate, learn and self-develop
  • Proficiency in MS Office programs (Excel, Word, PowerPoint, etc.)
  • Proven experience in leading a team
  • The ability to communicate effectively with different team members
  • Ability to work overtime when needed

Education:

  • BA in Business Administration or any related

Requirements:

  • Only applicant who have dual citizenship (Syria and Turkish) will be shortlisted
