Job Title: HR and Admin Manager, India

Reporting line: India Country Director with dotted lines to Global People Manager and Global Head of Ops

Location: India, Remote

Contract: Full-time, 12 months fixed term contract

Context of the role

The HR and Admin Manager will provide comprehensive operations management, administrative and program support to the Girl Effect India team, such as (but not limited to) HR support, contract management, procurement, records management, travel, logistics and hospitality, in-country IT liaison coordinator and overall office management.

What you will do

HR Support

  • Lead the local HR function, induction of new staff, and maintain leave systems.
  • Notify the broader team of new hires or resigned staff on time to get the necessary support like email creation or removal, salesforce training etc., schedule onboarding sessions with the team for new hires etc.
  • Be the focal point of contact and communication for all HR matters in collaboration with the global HR team.
  • Research and source for credible information around HR best practices, salary and benefits practices, and labour requirements in India. Present and communicate the same to the global team to facilitate problem-solving and subsequent decision-making.
  • Maintain all HR records in the Internal HR systems as per procedure and standards
  • Highlight to the country director and global HR any people-related issues
  • Act as the administrative lead during any external crisis to ensure business continuity
  • Onboard and supervise the work of interns or temporary employees when they are hired.
  • Lead on benefits support for the global and local team in India, including medical insurance & provident fund(onboarding and offboarding).
  • Internal Complaints Committee (ICC) HR focal point
  • Take on any other HR duties (outside of India) as and when required.

Admin & Operations Support

  • With the support of Global procurement, Lead all procurement processes: Salesforce management (issuing contracts, contract and payment management, supplier management)
  • Work with the Finance business partner and relevant teams to ensure payments are submitted to the system and prompt payments for goods and services.
  • Work with various teams to prepare and submit accurate procurement forecasts.
  • Work with the Global Ops team to manage the travel and logistics of in-country teams.
  • Maintain and update our in-country asset registry with the support of the global teams
  • Point of liaison with our insurance provider to make sure reimbursement is done on time and regularly update the staff roster with the provider.
  • Point of contact with our IT support contractor in India and Global IT manager to ensure all teams are adequately supported.
  • Manage the relationship with our co-working space providers in India.
  • Provide programme management support to the relevant teams when required.
  • Responsibility for other tasks that arise as part of a constantly evolving operational environment

Skills and Experience

  • Preferably Bachelor’s degree or equivalent.
  • Minimum of 4 years of work experience in Operations, HR or Administrative support roles
  • Excellent command of written and spoken English.
  • Ability to take responsibility for work quality and identify and resolve minor work problems.
  • Able to build solid relationships whilst maintaining respect.
