BACKGROUND

More than 3.6 million people have fled across borders to seek safety in the 1stmonth since the escalation of conflict in Ukraine on February 24, 2022, and over 6.5 million Ukrainians are reported to be displaced. As the vast majority of the displaced are women, girls, and boys, this could become the worst humanitarian crisis Europe has seen in decades. As of February 24th, the IRC has begun an emergency response, and have identified partner agencies in Ukraine and Poland to facilitate immediate assistance that can be used where it is the most needed. Simultaneously, the IRC is establishing operations across Ukraine and Poland to complement partner response services either in breadth or scale.

Job Overview:

The HR Administrative Assistant is responsible for ensuring that the day-to-day HR and administration activities are performed in accordance with IRC policies, procedures and appropriate HR practices. The position reports to the HR Coordinator and works closely with the HR team to ensure effective and efficient HR and administrative services are provided to support program activities in Poland. Major Responsibilities:

· Assist with HR administrative tasks including time and effort, paid time off tracking, completing status change forms and other assigned paperwork

· Prepare employee contracts and ensure that staff have the resources they need to perform their jobs

· Respond to common employee inquiries regarding payroll, benefits, and policies

· Collaborate with peers to ensure job postings are accurate and up to date

· Conduct monthly admin orientation with new staff

· Support local basic IT questions

· Assist with other related activities as assigned

Requirements:

· Education Degree or professional certificate in Human Resource, Administration or equivalent work experience.

· Experience

· Meaningful professional experience in administration / human resources and in similar position preferred

· Language: Fluent in Polish. Strong English proficiency highly preferred.

· Functional knowledge, skills and ability:

· Flexibility and prepared to work additional hours

· Flexibility to continuously re-prioritize

· Able to respond rapidly to changing environments, yet remain productive and focused

· Strong digital literacy (primarily Word, Excel, and outlook)

· Prior experience of preparing/disseminating payroll is a plus
