You

  • Have experience in an office management or administration role
  • Are a master prioritiser, with the ability to juggle many concurrent urgent & important matters
  • Have excellent communication and interpersonal skills
  • Love solving problems independently
  • Have experience in developing processes
  • Are fluent in English and Hungarian
  • Are a power user of computers, including Google Apps or Excel and Word
  • Are tidy and well organised
  • Are trustworthy, discrete and fun to be with
  • Preferably have experience with Salesforce or another CRM system

TO TAKE ON A REAL CHALLENGE

The Head of Operations role is challenging, as the person will be responsible for a number of key areas in a growing school environment. These include:

School administration

  • Develop and maintain student and HR databases and systems
  • Manage onboarding and offboarding students, including contracting, invoicing, databases, email address creation
  • Manage the tuition assistance application process
  • Manage regulatory compliance requirements, such as KIR reporting
  • Send out term reports
  • Develop processes to ensure smooth running of the school’s operations
  • Organise and participate in meetings and workshops, take notes, write-up outputs and draft follow-up e-mails
  • Support the implementation of the school’s new administration systems

HR and recruitment

  • Manage contracting of all staff and contractors
  • Manage work permit and visa procedures, and immigration matters for international staff – in cooperation with external immigration advisors
  • Support the Safer Recruitment Process
  • Manage the monthly payroll reporting across different countries
  • Arrange occupational health check for staff
  • Provide backup for other key personnel

Health, safety and safeguarding

  • Oversee H&S matters
  • Keep contact with external H&S officer
  • Schedule/organise fire drills, walkthroughs etc
  • Arrange pre-employment and annual H&S trainings, 1st aid trainings etc
  • In cooperation with the Head of Wellbeing, take part in the development and management of internal policies relating to H&S (eg. emergency procedures) 
  • Fulfill the duties of the Deputy Designated Safeguarding Lead
  • Support the Head of Wellbeing in safeguarding related administrative and operational matters

Corporate legal

  • Manage the administration of board meetings, act as board secretary
  • Manage all legal matters with the external lawyers
  • Manage all contracts with suppliers and customers
  • Manage all legal matters of the different legal entities relating to the School
