ZOA

KEY RESPONSIBILITIES

1. Financial Management

  • Ensuring that financial transactions are processed accurately and on time and are entered into the financial system

  • Monitoring finance compliance to internal and external (donor and government) rules and regulations, and reporting discrepancies or risks to supervisor;

  • Coordinating the documenting and archiving system in compliance with internal and external (donor and government) rules and regulations;

  • Reporting of quality issues in financial management in country office and field offices and suggesting solutions to Director of Operations;

  • Reviewing Partner reports and supporting documentation;

  • Coordinating the monthly payroll process;

  • Coordinating and processing the quarterly financial closure;

  • Contributing to quarterly financial management information at country organisation level;

  • Coordinating financial audits and supporting the Director of Operations in responding to audit reports

  • Supporting or coordinating the support to the Program Staff at the Country Office and field office by providing, among others monthly financial project reports

  • Preparing the allocation of staff and office cost

  • Ensuring that all offices have sufficient funds available for implementation and submitting cash forecast to HQ.

2. Budgeting

  • Support the Director of Operations in the development of budgets of funding proposals and partner contracts;

  • Lead the revision of donor budget when required

3. Reporting

  • Supervising of monthly financial reports at Country Organization level;

  • Coordinating the preparation of financial reports to donors

  • Supporting the preparation of the quarterly financial report

4. Procurement

  • Ensuring that procurement processes are conducted according to donor and ZOA procurement procedures and reviewing procurement documentation;

5. Team management & training of staff

  • Training and coaching of finance colleagues in the ZOA Sudan offices in finance skills and ERP usage.
  • Training and coaching finance staff of local partners towards donor compliance and quality reporting.

6. Profile

The position holder should work in a beneficiary and team oriented manner and adhere to standards as described in the “ZOA Code of Conduct”.

7. AUTHORITY

The Head of Finance supervises the Finance Team in the Country Office, among others Programme Accountant and Cashier.

9. COMPETENCIES

Knowledge and Experience

  • CMA / Master in Financial Management

  • Degree in Accounting

  • Must have an excellent knowledge of Microsoft Excel

  • Proven working experience of 5 years in the relevant field;

  • Proven working experience in similar position and managing a team;

  • Proven working experience in financial audits and (donor) compliance;

  • Proven working experience with payroll;

  • Experience with month-end processes, and creating financial statements and reports;

  • Experience with creating project budgets and Budget verses Actual (BVA) analysis

  • Experience with Donor Relations and Grants Management

  • Fluent in Arabic in reading, writing and speaking;

  • Good knowledge of English in reading, writing and speaking;

  • Strong affinity with accounting software; preferably experience with ERP software

11. Special working conditions

  • The Head of Finance position is in scale L1 – 1,900 USD per month basic, based on qualifications and experience

12. Special requirements

The ability to travel periodically to Field Locations and to other ZOA Offices.
