Habitat for Humanity International (HFHI) is recruiting for an experienced grants/project manager to oversee a portfolio of grants supporting our Ukraine Crisis Response efforts. Reporting to Ukraine Regional Response Lead, the Grants Portfolio Manager – Ukraine Response is responsible for initiating, leading, coordinating and supporting grants management process in the Europe/Middle East area office in Bratislava, and grant management involving branches and national organizations. This work will be in line with overall global process strengthening priorities and providing the extra bandwidth in the initial phases of implementation of grants as well as oversight and support for grant management workstreams.

The postholder will need to have the skillset and flexibility to have a solid understanding of grants management processes and trends, and also to act in management role as well as support to area office, branches, national organizations and other subgrantees to build understanding of overall plans and give specific support. The postholder will work closely with and be supported by the Global Director of Grants Management and Global Grants Management Specialist, as well as liaising with their peers in the other three global area offices.

This is a two-year position that is located in Slovakia and requires up to 25% travel.

ABOUT HABITAT’S RESPONSE TO THE UKRAINE CRISIS:

As millions of refugees flee violence in Ukraine, Habitat for Humanity is on the ground in four neighboring countries – Poland, Romania, Hungary and Slovakia – helping meet the shelter needs of displaced families. We are supporting refugees on the move, supplying them with emergency travel kits and hotel vouchers. Habitat is also working on mid- and long-term accommodations for refugees, by subsidizing rentals, refurbishing communal spaces that can act as shelter and supporting mid-term hosting arrangements with families who have opened up their homes. We also plan to lend our housing and construction expertise to partners who repurpose so-called empty spaces – such as unused schools and factories – to serve as shelter for refugees.

Key Responsibilities::

Grant Proposal Coordination
* Participate in the proposal development phase to ensure compliance with statutory and donor-imposed requirements.
* Collaborate with relevant stakeholders to ensure quality assessment of developed proposals.

Grant Implementation
* Coordinate the hiring process for the project teams.
* Participate in and represent HFHI during the project kick-off meetings.
* Monitor the project implementation and communicate to donor and other stakeholders.
* Provide donor reports, act as a liaison between donors and internal departments.

Finance
* Monitor financial performance of the grants, collaborate with area office finance to resolve any issues.
* Coordinate preparation of programmatic reports to donor. Perform quality assessment of the reports.
* Coordinate programmatic and financial audits of the funded projects.
* Represent HFHI during the project close-out meetings.
* Coordinate and lead post-implementation audits and evaluations.
* Make recommendations leading to project implementation improvements.
* When necessary, act as a Chief of Party during the initial implementation phase, close-out phase and during Chief of Party transition.

Grant Management Systems
* Ensure all relevant programmatic and financial information for grants is retained in a systematic manner and readily available to stakeholders.
* Regularly inform Area Leadership Team on implementation progress of the grants, identify possible risks and work on mitigation actions.
* Ensure that relevant national organizations and other sub-grantee (external partner) staff engage actively with grants tracking tools through the ERP and any interim system, keeping grant data live for visibility of overall grants portfolio and so that support needs can be best prioritized.
* Manage information flow across the HFHI network, particularly as area office focal point for grant management.

Requirements:

* Bachelor’s degree level of education in relevant field.
* 8+ years of experience in development/humanitarian work, or related work.
* 5+ years of experience in grant management or experience in a similar field.
* Experience dealing with institutional donors (EU, EC, FDCO, USAID, etc.).
* Project management skills.
* Excellent report writing and presentation skills in English.
* Must have excellent problem – solving, and decision-making skills.
