About PAH:

Polish Humanitarian Action (PAH) is an international non-governmental organization which since 1992 has been providing humanitarian and development help worldwide. So far, the interventions have been carried out in 51 different countries. By possessing long-standing expertise in the implementation of projects in Water, Sanitation and Hygiene, Food Security and Livelihoods, as well as Nutrition and Education, PAH concentrates its global activities on ensuring sustainable and stable development of regions suffering from the consequences of armed conflicts, natural disasters and other humanitarian crises.

PAH has been present in Kenya since April 2018 delivering development and humanitarian assistance to the most vulnerable populations. We assist Kenya’s growth, through addressing challenges such as water accessibility, conducting hygiene promotion, climate change mitigation, agriculture entrepreneurship, and production growth. In collaboration with local specialists, we implement new methods of collecting and treating water, though building sand barriers, shallow water wells and water tanks in schools. To empower the local agricultural sector, we organize diverse training programs covering project management, leadership, administration, and modern farming techniques for agricultural cooperatives. Our projects contribute to improving livelihood quality of all the people. Our current activities include FSL, DRR, WASH and MPCA.

Role Purpose:

The Grants & Partnerships Coordinator is responsible for PAH’s resource mobilization efforts and secures timely and efficient grant coordination for our programs in Kenya. The main purpose of the position is to plan, coordinate and ensure quality and timeliness in all proposal developing processes in the Kenya Country Office (CO). S/he provides strategic guidance and support the CO on issues of program development, grants/sub-grants management and compliance, and donor relations. S/he leads proposal development processes and supports variety of aspects of projects cycle management, including information management, problem analysis, evidence-based program design, negotiation with donors and partners, grant and sub- grant monitoring and modifications, reporting, and grant closure.

Key Duties and Responsibilities:

Grant Coordination

  • Monitor major donor trends (policies, strategic directions, etc.) and funding opportunities through regular research and monitoring of information on relevant websites and/or other sources.
  • Serve as team lead for all proposals, working with and /or overseeing other key roles (e.g. consultants) when needed and as resources are available to support them.
  • Coordinating timely proposal development – together with partner organizations, other INGO staff and PAH colleagues – ensuring that proposals are of high quality and meet donor requirements.
  • Support proposals budget development and ensure that it matches the technical narrative.
  • Support capacity building of partners in relation to grant management and programmatic aspects.
  • Support PAH partner organisations in developing proposals for project activities, project logical matrix, budget, and other necessary project documents.
  • Support PAH partner organizations in developing reports (financial and narrative) and their timely submission.
  • Support in consolidating reports, if requested lead the process of reporting by monitoring timeliness delivery from different Team members, editing, revising, clarifying, managing on time delivery.
  • Compile data and ensure the submission of timely and high-quality reports (including narrative, financial and MEAL) to donors, including the development and update of regular funding and reporting trackers and schedules for dissemination to relevant staff. Lead the process of reporting by monitoring timeliness delivery from different Team members, editing, revising, clarifying, managing on time delivery.

Partnership Coordination

  • Support the Country Director in strategically engaging with donors and other stakeholders
  • Assisting in building relations and increase visibility of PAH among both donors, private sector, partners, INGOs and other key stakeholders
  • In cooperation with the Country Director support the conduct of assessments of new partners before entering new partnerships, support the preparation and implementation of new procedures and necessary standards.
  • Prepare new partnership agreements, in accordance with PAH project approval process
  • Securing constructive and close collaboration with relevant units and colleagues in PAH, both in Kenya and in HQ

The successful candidate will be selected based on the qualification requirements described below:

  • A university degree in community/international development, project management or other related sciences as well as minimum 2 years relevant working experience, preferably in Kenya and/or East Africa region.
  • Documented successful experience in proposal development and writing, including excellent English writing skills.
  • Knowledge of grant management of international donors including
  • Knowledge of and experience in working with local and international partners and the private sector.
  • Experience in Project cycle management using results frameworks and/ or logical frameworks
  • Enjoys and is good at liaison, building relations and networking.
  • Good interpersonal and communication skills with experience in engaging with people of diverse cultures and backgrounds.
  • Flexible, pro-active, initiative-taking, and good at coordinating and organizing own work as well as that of the team, while managing several processes at a time. This should be combined with a strong attention to detail.
  • Excellent written, oral, and presentational communications skills.
  • Computer literacy skills in MS Office

PAH offers: The position is for a period of 12 months with the possibility of extension.
