Grants & Compliance Coordinator

Job Overview/Summary: The Grants & Compliance Coordinator is a critical role that supports the IRC in Texas team to ensure departments have necessary resources to meet client needs by supporting the development of new funding proposals and ensuring grant and program compliance. This position supervises the Grants and Data Specialist.

Major Responsibilities:

New Business Development

  • Research and identify new business development (grant) opportunities in coordination with local program leadership.
  • In collaboration with Executive Director, follow a clear “Go/No Go” process to ensure opportunities meet current resource needs and capacity
  • In collaboration with program and finance teams, coordinate the development, writing, and editing of proposals and reports.
  • In conjunction with Senior Leadership, maintain an efficient system for proposal development with clear responsibilities to ensure timely and high-quality submissions.
  • Act as focal point for the proposals, programs and projects in use of the IRC’s OTIS (Opportunity Tracking Information System) database.
  • Review proposals for compliance with the IRC’s Outcomes and Evidence Framework.

Grants Management and Compliance

  • In conjunction with program leadership, coordinate grant opening meetings and initiate hard copy and electronic files for new funding sources.
  • Maintain a report tracking calendar, synching with other tools (i.e. FM01, OTIS) and ensure relevant reporting templates are available to and understood by program leads.
  • In conjunction with program leadership, support preparation for program monitoring activities
  • Develop and implement a quality check system to support program’s compliance activities, supporting with casefile spot checks as needed and provide feedback and guidance as needed
  • Maintain accurate records related to potential partnerships and sub-awards in adherence to IRC’s Partnership Management (PEERS) system.
  • Act as main point of contact for HQ funded/administered programs (in conjunction with program leadership)
  • Act as main point of contact (in conjunction with program leadership) for grants through local governance and foundations
  • Assist with responding to HQ requests related to grants and contracts and participate in regular update calls with HQ on status of pipeline.
  • Other duties as requested or needed

Requirements:

  • Undergraduate degree required, preferably in related field such as Public Administration or Business Administration. Graduate degree preferred.
  • A minimum of two years of professional work experience, in proposal/grant writing, project management, or related area
  • Proficient in general office software programs like MS Word, Excel, email, and internet
  • Proven ability to work as a team member in a cross-cultural environment
  • Project management experience demonstrating ability to create and coordinate successful team work plans within established deadlines.
  • Strong commitment to ensuring the success of the IRC mission while adhering to the values of service, accountability, integrity, and equality as defined in the IRC Way
  • Fluency in English, both spoken and written with exceptional attention to grammar.

  • Excellent interpersonal skills: the ability to work effectively with partners and colleagues.
  • Solid organizational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines
  • Solid communication skills with ability to make judgements about appropriate information to share with various levels of stakeholders.
  • Professional work or internship experience in refugee social services, humanitarian relief, public service, or other not-for profit environment strongly preferred.

Working Environment: Combination of standard office work environment and remote work.
