People in Need Slovakia

People in Need Slovakia (PIN SK) is a Slovak non-profit organisation, providing direct support to those who suffer the consequences of war, to victims of natural disasters, or those living in poverty on the margins of society. Currently, PIN Slovakia is one of the major humanitarian actors in Slovakia responding the Ukraine crisis both in Slovakia and across border in Ukraine and we are looking for senior humanitarian professionals to help PIN Slovakia‘s response to the escalating situation.

PIN SK has been active in eastern Ukraine along the ‘Line of Contact’ since 2014. We have been providing WASH – repaired destroyed pipelines and provided a stable access to clean water to hospitals, elderly facilities, schools and social centres. We provided humanitarian assistance during the conflict in 2014, including regular winterisation assistance to elderly people at the ‘Line of Contact’. We also provided shelters and repaired houses damaged by the conflict, and also provided PSS for vulnerable and elderly through hiring and skilling social carers who were then visiting elderly twice a week and assisted them with social support. Lastly, we have been providing PSS for children and parents dealing with trauma from the conflict. Recently, we were supporting local municipalities (ATC hromadas) though capacity building, negotiation and democratic principles.

ABOUT THE ROLE

The Grants and Reporting Coordinator will develop PIN SK funding portfolio, map and seek new funding opportunities, engage with prospective, strategic and institutional donors and help build long-term relationships with them. She/he will oversee PIN SK subgranting program in Ukraine, monitoring and evaluation and will be responsible for overall coordination of reporting to our current donors and proposal development. She/he will develop quality reports and proposals in compliance with donor guidelines and PIN SK internal processes, and will provide the programme staff with capacity-building in proposal development and reporting.

MAIN RESPONSIBILITIES

Donor mapping and funding strategy:

  • Update the donor mapping and funding strategy, keeping abreast of funding trends and donor strategies, paying special attention to diversifying the funding portfolio with new donors in development and human rights sectors (and others as relevant in view of PIN’s programme strategy); timely inform the management staff of opportunities or strategic trends;
  • In close cooperation with the mission lead and communications team, actively engage with donors to establish and nurture relationships and promote PIN’s work in its strategic domains;

Grants management and reporting

  • In close cooperation with the management, ensure high quality contract management, to anticipate any possible risks, identify and implement mitigation; communicate with donors and prepare modification requests and other contractual documentation as required;
  • Maintain regularly updated reporting and compliance guidelines for key donors and act as a focal point for grants communication;
  • Ensure well-structured, high-quality and timely reports that meet donor and PIN quality standards and requirements, and dully reflect mainstreaming issues such as protection, gender, do no harm and conflict sensitivity, etc.;
  • Ensure coordination and facilitation of meetings for grant opening and closing, including actions points and monitoring progress against timelines;

Proposal development:

  • Act as proposal manager: Lead, plan and coordinate the proposal development process in support of the proposal technical lead and all relevant internal (in-country and HQ) and external stakeholders (programme teams, MEAL, finance, logistics, Compliance, HR, partners);
  • Ensure that proposals comply with donor guidelines and requirements, are written in a reader-friendly and compelling language, meeting deadlines for internal reviews and final submission;
  • Act as the lead writer or editor for all concept notes and proposals, including ensuring that logical frameworks, targets, and overall design are developed with high quality in view of donor expectations and PIN’s own quality standards, developing proposal narrative and budgets, with guidance from Programs Director and Emergency coordinator;

Human resources and capacity building:

  • Coordinate with finance and HR units to ensure that the required HR effort of GR team is appropriately budgeted in new proposals;
  • Coordinate provision of trainings in proposal development and reporting for GR and program teams, including relevant field staff.

MAIN REQUIREMENT

  • Minimum 3 year of relevant professional experience related to humanitarian or developmental work.
  • Advanced university degree in international relations or social science field, or comparable experience
  • Strong writing skills and ability to edit with a critical eye to detail, excellent written English skills are essential.
  • Ability to produce and edit documents under deadline pressure
  • Ability and willingness to learn and follow donor reporting and compliance requirements.
  • Knowledge and experience of designing and rolling out M&E systems.
  • High-level of knowledge and practice with Word, Excel, Outlook, etc. required.
  • Excellent organizational skills and ability to determine priorities and respect deadlines.
  • Detail-oriented with good multi-tasking abilities and communication skills, both oral and written.
  • Willingness to travel to the field.
  • Able to work well both within a team and independently, remaining flexible in a challenging and fast-moving multicultural environment.
  • Clear communication, presentation style, good interpersonal and diplomatic skills essential.

PIN SK OFFERS

People in Need Slovakia offers:

  • Salary 1500 EUR gross/month based on your experience and PIN’s salary scale (for full time),
  • Per diems of cca. 1100 EUR net/month for Ukraine (37 EUR net/day)
  • Housing in guesthouse covered by PIN Slovakia, if not – housing allowance of 200 EUR/month
  • Travel health insurance for Ukraine
  • Opportunities for learning, trainings and capacity development;
  • 30 days of paid leave annually;
  • Reimbursement of travel expenses with travel to the country of residence once per every 6 months of completed work;
  • Active participation in PIN SK growth and development as one of the biggest Slovakian humanitarian responder in Ukraine
