General objective of the position:

The Grants and Partnerships Officer is responsible for providing quality and proper stewardship of grants by developing and designing proposals, managing the grants from the start up until the closeout phase. The Grants and Partnerships officer will also help in ensuring that grants awarded to SOP partners are designed and managed in a way that adheres to SOP policies, donor requirements, and program needs.

Main tasks and responsibilities:

Grant management:
Assist in donor reporting processes through the coordination and drafting of high-quality donor reports (Bi-weekly, monthly, quarterly, interim, annual and final), ensuring compliance with SOP and donor requirements; and support review of program narrative and financial reports and supporting documentation, in coordination with Project Finance, Projects, and Grants colleagues.

Maintain an internal tracking database of donor, reporting timelines, and coordinate with the relevant stakeholders from the projects, MEAL and advisory depts. to ensure that appropriate data collection and compilation take place on schedule.

Organize and facilitate Grants kickoff/review meetings, in collaboration with Projects, Advisory, MEAL, Project Finance, Finance and other relevant stakeholders from the departments; and Organize grant kickoff meetings and monthly review meetings with sub-grantees to review progress, monitor implementation, field requests for support, and to ensure a clear understanding of expectations and deliverables.

Work with colleagues in Headquarters to compile sub-grant agreements and amendments for issue to sub-grantees.

Supporting and mainstreaming the use of SOP grants management tools and systems.

Proposal Development

Under the guidance of CEO , provide dedicated support to the development of concept notes, proposals and situation analyses – coordinating the development process with all relevant departments, including designing logical frameworks, setting realistic and measurable targets, and developing narrative proposals.

Meets proposal deadline by establishing priorities and target dates for information gathering, writing, review, and approval.

Review SOP Implementing partners proposals and budgets when requested, providing constructive feedback.

External Representation and Information Management

Attending relevant coordination meetings with current and potential donors’ partners and other stakeholders when requested, as delegated by the CEO.

Ensure comprehensive grant files are maintained up to date and are available for use.

Provide support to Grants Department in the organization of donors’ visits and Implementing Partners visits as well.

Support the development of strategic communication materials, such as sector profiles, impact reports, program briefings, leadership and positioning pieces and other relevant pieces.

In coordination with program and operations teams, draft letters and expressions of interest, concept notes, full proposals, modification requests, and all supporting documents,

Support with OCA completion and updates

Organize and play a lead role in grants kick-off meetings,

Participate in and support grant review meetings and provide advisory assistance to program staff,

Tracks program progress on a monthly/quarterly basis against targets internally for all grants,

Collate donor reports and information needs coordinating inputs from relevant staff,

Maintain grants files for all awards, including agreements, proposals, revisions, reports, etc;

Support program compliance and internal control procedures according to internal and donor regulations and requirements,

Liaise on grant management activities, including ad hoc requests for information and updates,

Support closeout of awards, lessons learned sessions, recommending award actions to the team

Keep the donors timely updated on vital issues impacting project implementation and advise P&G Coordinator and team on potential scenarios and informed and analytical decisions.

Representation

Attendance and hosting of meetings with donors,

When needed, actively participate in: check-in calls with donors, coordination mechanism meetings

Advocacy support and initiatives in collaboration with advocacy focal points

When requested, represent SOP at NGO coordination meetings and other events

THE CANDIDATE’S REQUIREMENTS

Mandatory Qualifications required:

• University degree in business management, social sciences or any related field.

• Minimum 2 years’ experience in Grants Management, Proposal writing, and Partnership management

Languages:

• Fluent written and spoken in Arabic

• Advanced written and spoken English

Competencies:

• Grants / Partnerships Cycle Management

• Performing Pre-Award Assessment

CONTRACT CONDITIONS:

The salary will be defined regarding the SOP Turkey Office salary scale on-going.
