POSITION SUMMARY:

HIAS seeks a Global Policy & Advocacy Associate to assist the Global Policy & Advocacy Division to promote HIAS’ global thought leadership, policy and advocacy priorities, and program impact to create a world in which refugees find welcome, safety and opportunity. The Global Policy & Advocacy Associate will work with the Chief Global Policy & Advocacy Officer to support the division’s priorities by facilitating internal and external communication, coordination and other duties as required. They will regularly engage with other divisions, departments and external stakeholders, as required.

ESSENTIAL FUNCTIONS:

  • Leads on scheduling, communications, note-taking and related logistical support for internal and external meetings, presentations and workshops; tracks next steps and tasks through follow-up with respective individuals/departments.
  • Manages cross-departmental and cross-divisional initiatives and ensures their timely completion, including by drafting and circulating reports relating to those initiatives.
  • Works closely with the Talent Acquisition team to support the processing, recruitment and coordination of consultants; ensures consulting payments are made on time.
  • Supports the onboarding of new Global Policy & Advocacy staff, including through meeting scheduling, compiling resources and other needs.
  • Facilitates the hiring and payment of translators and interpreters.
  • Provides support on travel and accommodation of Global Policy & Advocacy staff.
  • Supports the planning of divisional retreats and external facing events.
  • Leads on the provision of logistical support to visitors to HQ, including by ordering refreshments, reserving rooms and setting up IT needs.
  • Manages Global Policy & Advocacy content on HIASnet and SharePoint.
  • Provides administrative support for HIAS’ Board of Directors External Affairs Committee.
  • Supports reporting related to departmental achievement, goals and performance indicators.
  • Schedules meetings, maintains calendar and manages financial reports for the Division Chief.
  • Performs other duties as assigned.

QUALIFICATIONS & REQUIREMENTS:

  • Undergraduate degree required, with graduate degree in international relations, public affairs, communications, development or public administration preferred.
  • 1-2 years of experience working in humanitarian, protection, or resettlement NGO, think tank or academic environment preferred.
  • Excellent oral and written communication skills, including in communication platforms; interpersonal and problem-solving skills.
  • Ability to effectively prioritize work and escalate issues as needed; ability to complete work in a timely manner while working on simultaneous tasks.
  • Highly organized and detail-oriented; ability to work under pressure and meet multiple deadlines in a fast-paced environment.
  • Commitment to HIAS’ mission and values, and refugee protection.
  • Travel, to include travel to insecure operating environments, may be required.
