Job Description:

JOB PURPOSE

An administrator with prior experience in administration is required to support the Global Assembly Coordinator and the Legal & Governance Programme to deliver Amnesty International’s 2023 Global Assembly Meeting. This includes multilingual document management, travel and budget administration for the Global Assembly Preparatory Committee, updating content on the Global Assembly Meeting website, setting-up and administering webinars and supporting the writing of the Global Assembly Meeting report.

This is a major annual event in the Amnesty International calendar, due to be held in Europe in July/August 2023 with 350 delegates attending from over 60 countries.

ABOUT YOU

Highly organized with strong administrative skills, note-taking and report writing, you will ideally have experience of organizing a small committee (10 people) videoconferences with participants across various time zones and face-to-face meetings (including booking international travel and accommodation and reconciling expenses). You will have excellent communication skills and preferably experience of working in internal communication programmes, especially with volunteers.

Please note, the Assistant will be required to travel and should be available for ad hoc weekend working (on prior notice) and travel to a venue in Europe for a week at the end of July/beginning of August 2023.

MAIN RESPONSIBILITIES

  • To support the Global Assembly Coordinator with the production, management and distribution of Global Assembly documentation and general communications.
  • To set up and coordinate meetings and videoconferences for the relevant Global Assembly committees and volunteers in advance of the Global Assembly Meeting.
  • Support the servicing (arranging logistics, producing summary reports) of committee meetings and communication to the Amnesty movement.
  • Set-up and co-ordinate trilingual webinars with 50 participants from across the Amnesty International movement.
  • To maintain financial records through internal systems.
  • Supporting the Committees Coordinator with specific administrative tasks related to the elections process.

SKILLS AND EXPERIENCE

  • Highly organized with strong administrative skills, note-taking and report writing.
  • Previous experience of organizing small committee (10 people) video conferences with participants across various time zones as well as face to face meetings (including booking international travel and accommodation, reconciling expenses).
  • Excellent communication skills and experience of working in internal communication programmes, especially with volunteers.
  • A high level of spoken and written English essential, French or Spanish an advantage.
  • Experience of formatting and organizing version control with large and complex documents, knowledge management.
  • Experience of using requisitioning and purchase order systems and Office 365 desirable.
