The Institute of Development Studies (IDS) delivers world-class research, learning and teaching that transforms the knowledge, action and leadership needed for more equitable and sustainable development globally.

We are seeking to recruit an administrator to join the Fundraising & Development Office to support our critical functions (alumni relations, grants administration, partnerships and philanthropy). Responsibilities for the involve include; event and meeting administration, basic research and data entry, handling some FDO enquiries, database administration and communications administration.

Applicants will need to be friendly, pro-active, and efficient with strong team working skills to help provide a professional service to IDS’s current and former students, partners, donors, and employees. The appointment necessitates some degree of autonomy and initiative and the need to make decisions daily within the agreed standards.

Although IDS is a sponsoring organisation unfortunately we would not be able to obtain a certificate of sponsor for this particular post as the role does not meet the requirements (skills & salary threshold) as outlined in the Skilled Worker guidelines

he Fundraising & Development Administrator post will be situated in the Fundraising and Development Office (FDO) and will report to the Alumni Relations & Engagement Manager (AREM).

The FDO works the Institute’s research and knowledge clusters, hubs, Communications and Engagement Team, Finance Team, and the Directorate to develop a strategic and powerful approach to fundraising and development. As such, the Office is critical to the overall intellectual, financial, and reputational success of the Institute.

The FDO leads several critical functions for the Institute, including,

  1. Building donor relationships
  2. Fundraising and horizon scanning
  3. High Net Worth Individuals (HNWIs) and Private Philanthropy
  4. Large and cross-cutting bid support and proactive engagement in bidding processes and calls
  5. Building systems
  6. Frameworks and consultancies
  7. Facilitating partnerships management
  8. Engaging alumni

The Role As the FDO Administrator, you will, under the guidance and support of the AREM, provide administrative support for the FDO’s critical functions (comprised of alumni relations, grants administration, partnerships, and philanthropy). The appointment requires a friendly, pro-active, and efficient individual with strong team working skills to help provide a professional service to IDS’s current and former students, partners, donors, and employees. The appointment necessitates some degree of autonomy and initiative and the need to make decisions daily within the agreed standards.

The responsibilities of the post are drawn from the following broad categories of activity:

1. Administrative duties relating to events (for example Alumni, Partnership, Fundraising, or Stewardship) including: • Organising venue bookings, catering, invitations, and promotion • Processing invoices 2. Basic research and data entry including: • Regular scanning of key grantors in support of horizon scanning • Basic prospect research using the internet and internal databases • Data entry of important information, including new students, communications consent changes, donor information, volunteer information, partnerships, fundraising proposals and bids 3. Administrative duties relating to arranging meetings including: • Organising room bookings, catering, scheduling, taking notes, and ensuring appropriate follow-up actions 4. Handling FDO enquiries. This would include duties such as: • Acting as a first point of contact and handling enquiries from alumni, partners, and employees, providing good customer service and referring to FDO team members where appropriate 5. Database administration. This would include such duties as: • Assisting with the regular management of alumni and fundraising data in the ToucanTech database • Assisting with the regular management of partnerships and fundraising proposal data in the Microsoft Dynamics CRM • Assisting with reporting, summarising, tabulation and communication of alumni, partnerships, and fundraising data 6. Administrative duties relating to Communications. This would include such duties as: • Writing social media messages and emails using pro-forma for different audiences, including alumni, students, staff and partners. • Assisting with producing content for engagement, including the alumni network website, IDS website, and intranet 7. Other administrative duties may include • Any other duties considered reasonable for the role
