Job Summary

To understand our world and the universe, the Space Science and Engineering Center (SSEC)

develops, deploys and supports instrumentation and software systems for research purposes across the world and beyond! SSEC’s history of developing a diverse set of instruments ranges from the first weather satellite, to aircraft instruments monitoring the atmosphere, and to ground based atmospheric observing instrumentation. The challenge of operating research systems, in these environments, requires a broad set of disciplines and skills from the team of people involved. This dynamic environment requires us to learn about new scientific advances, systems and technologies on a regular basis. SSEC’s mission supports faculty and academic staff led research with the development, fabrication, and implementation of experiments and new scientific research tools for national and international use.

This position is located in the Business Services operational unit.

This successful candidate will support SSEC’s mission by functioning to provide travel, purchasing, and general administrative support to the faculty and staff. This position will interface with a wide variety of internal and external customers to ensure accuracy within the purchasing and billing systems. The incumbent must be a customer service and detail oriented person.

This position responsibilities require the ability to function independently, requires excellent organizational, oral and written communication, and interpersonal skills. Microsoft Excel, Word, and Access expertise is required. The position will provide guidance and training on fiscal policies to approximately 200 faculty and staff and students to ensure compliance with University, Sponsor, and State or Federal regulations.

The incumbent will also back-up other Business Office personnel as necessary.

Responsibilities: Primarily reviews, approves, and advises on a variety of advanced financial transactions. May prepare some financial transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management.

  • 10% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 10% Creates general reporting for transactions
  • 10% Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 10% Audits or reconciles original purchase documents with payments
  • 10% Reallocates expenses to appropriate funding strings
  • 10% Drafts communications and advanced reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 10% Answers advanced fiscal questions and provides information based on set materials and standards to various audiences
  • 10% Reviews transaction processing internal controls and recommends policies and procedures
  • 15% Serves as department travel coordinator. Works with contracted travel agency for booking flights, lodging and car rentals.
  • 5% May supervise student office staff and resolve routine personnel issues.

Qualifications

Knowledge and Skills

  • Knowledge of state and university policies and procedures for processing requisitions, travel expense reports, purchasing via procurement or travel card, handling money, internal and external billing procedures preferred.
  • Working knowledge of Microsoft Office products such as Excel, Word, and familiarity with or ability to learn other software and web-based financial tools and databases required.
  • Strong customer service skills are required
  • Excellent verbal and written communication skills, including the ability to relate complex information in an understandable fashion to a variety of people with different levels of knowledge on the topic is required.
  • Strong organizational skills, including the ability to efficiently and effectively manage complex tasks with numerous interruptions is required.

Work Schedule

Work schedule to be determined upon hire, taking into consideration remote work agreements and the core hours of 7:00am – 5:00pm Monday – Friday.

This position does require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. This will be reviewed on an annual basis.

Minimum $16.20 Maximum $30.14 HOURLY

Depending On Qualifications

The expected pay for this position is between $16.20 and $30.14/hour. This equates to a salary range of $33,700 up to $67,000. Actual pay will depend on experience and qualifications.
