Job Overview:

Under the supervision of the Finance Director, the Finance Supervisor manages the implementation of the account systems in the San Diego Office and collect and process IRC’s financial data to provide management, donors, grantors, creditors, and others with timely, accurate and understandable information. The Finance Supervisor will supervise and assist the finance team in the day-to-day fiscal activities and provide fiscal support as necessary to program staff and supervisors to ensure compliance to funders’ requirements and IRC internal control.

Major Responsibilities:

Fiscal Operations – Compliance – Reporting

  • Ensure the office compliance with IRC’s accounting policies vis-à-vis fund accounting as noted in IRC’s finance manual and generally accepted accounting principles; Coordinate the protection of the organization’s assets by implementing IRC’s Internal Control procedures; Manage & maintain financial data in Integra to ensure financial records are fully supported by complete and accurate supporting documents.
  • Manage the day-to-day financial activities including payable and receivable activities including subaward financial matters per due dates and contractual obligations.
  • Review fiscal data routinely to ensure proper coding, eligible expenses and complete the office month-end/year-end closing tasks as scheduled by HQ Finance.
  • Responsible for the office grant billing/invoicing in collaboration with the Budget & Planning Coordinator; ensure high-quality and timely invoicing/reporting and current contract receivables. Timely investigate discrepancies and resolve and/or seek advice and decision from the Finance Director and/or Senior Leadership.
  • Work collaboratively with program staff & supervisors in matters related to Integra financial dimensions and workflows. Respond to staff questions and provide information/guides regarding fiscal operations.
  • Assist with the office banking arrangements and cash need.
  • Facilitate external/internal audits as needed.

Supervision and Staff Development

  • Provide direct supervision, training, and oversight to the team of finance specialists including organizing tasks and assigning responsibilities effectively and providing assistance to the team when necessary to ensure tasks are completed accurately and on time.
  • Perform supervisory duties for the assigned staff such as objective setting, performance review, training, and coaching.

Program Collaboration and Support

  • Prepare BvA reports as needed in collaboration with the Budget & Planning Coordinator and Program Leads to track spending and revenue collection to ensure programs stay on track and within budget.
  • Comply with all policies, procedures, and protocols of IRC.
  • Other related duties as assigned.

Key Working Relationships:

Position reports to: Finance Director

Position directly supervises: Finance Specialists

Internal Collaboration: San Diego staff and managers/supervisors, Development Manager, Executive Director, and HQ Finance personnel

External: Funders/Vendors/Suppliers

Job Requirements:

  • Some accounting or bookkeeping training/classes required; 4-year degree in related field preferred

  • Two + years professional work experience with accounting and bookkeeping procedures and standards required, preferably in a grant-driven, not-for-profit, social services environment.

  • High degree of professional integrity; ability and commitment to maintain confidentiality of sensitive data.

  • Solid computer-based accounting skills, including spreadsheets and other financial related software programs; Solid organizational skills: detail-oriented, ability to multi-task, set priorities, and meet deadlines.

  • Proven ability to work independently, be flexible and work well under pressure in a fast-paced team environment; Good interpersonal skills and ability to work effectively in a multi-cultural environment.

  • Excellent verbal and written communication skills.

Working Environment:

  • During pandemic: A hybrid schedule of at-home work with reliable internet and office work.
  • Non-pandemic: Standard, professional office environment;
  • Offices hours are scheduled as Monday-Friday, 8:30am-5pm;
  • Must be comfortable working on a computer for long periods of time.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirement.
