Context

5 of the world’s 7 billion people do not have access to safe, affordable surgical and anaesthesia care when needed. Can you help a growing organisation address a neglected area of global health care?

Surgery and anaesthesia have a fundamental and increasing impact on global health outcomes. Surgical intervention could address up to 30% of the global burden of disease, and yet receives less than 1% of health funding. Worldwide, the poorest 33% of people receive just 3.5% of all surgery. In parts of the world where surgery and anaesthesia have been neglected, we find post-operative mortality rates 1,000 times higher than in the UK. In some countries as many as 90% of anaesthetic departments do not have the equipment to provide a safe anaesthetic for a child.

With 132 Member Societies made up of anaesthesiologists in over 150 countries, the WFSA is uniquely placed to influence these inequalities and to help ensure universal access to safe surgery and safe anaesthesia. As a global federation, we work in collaboration with our member societies and other partners to advocate on behalf of anaesthesia as part of universal health care, and to help develop a sustainable anaesthesiology workforce through education and training.

The Finance & Operations Officer will be a confident and energetic individual with demonstrable experience across finance, office management and administration. The ability to work on your own initiative and take a solutions-focused and accountable approach is highly valued.

The right candidate will demonstrate flexibility, have strong interpersonal skills and an affinity and empathy with our organisation. We’re ideally looking for someone with 2+ years recent experience in a comparable role.

The successful candidate will join a small team of eleven at our Secretariat based in central London which works with – and supports – a much larger group of expert volunteers around the world. This position reports to our Finance & Operations Manager. It is vital to the successful running of our finance functions and office operations.

Salary will be in the region of £28-30,000 per annum based on full-time work.

Purpose of the Role

To contribute to maintaining effective financial processing and controls across the WFSA, and to the production of timely financial information. This includes recording all income and expenditure accurately and performing monthly reconciliations.

To support the general operations of the WFSA, including management of contracts and insurance policies, the office and IT systems.

Key tasks and responsibilities

Finance

  • Ensure transactions are properly recorded and entered to the accounting system (currently QuickBooks Online and Excel).
  • Ensure that monthly bank reconciliations are completed in a timely fashion.
  • Manage the petty cash and credit card reconciliations.
  • Assist with the year-end statutory audit and annual accounts preparation.
  • Maintain financial files and records including electronic copies of all contracts, invoices, and relevant documentation.
  • Process invoices and staff expenses.
  • Ensure timely issuing and appropriate follow-up of membership dues’ invoices.
  • Support online banking transactions within the limits of the banking mandate.
  • Reconcile gifts received through our online donations platforms;
  • Process and submit Gift Aid claims to HMRC;
  • Help prepare and maintain systems notes across all finance operations.

Operations

  • Day-to-day organisation and coordination of the office, including liaison with staff and suppliers (including cleaning contractor) to ensure appropriate stock of office supplies.
  • Monitor and manage office-related contracts and insurance policies, ensuring the Finance & Operations Manager is notified of upcoming renewal dates and costs.
  • Archive and keep all administration-related files organised and up to date
  • Maintain and update our various databases including member societies’ payments records.
  • Oversee the delivery of all IT-related services, including relationship with Salesforce, Microsoft including WFSA Shared Drive and our service providers for internet and telephony.
  • Coordinate health and safety requirements within the office including fire and PAT testing, DSE assessments etc.

Person Specification

Essential

  • Minimum two years recent exposure in relevant comparable roles.
  • At least 2 A levels and 6 GCSE’s grade A-C including English and Maths.
  • At least intermediate knowledge of Microsoft Excel.
  • Working knowledge of QuickBooks (or another accounting package) and openness to learning new systems.
  • Ability to work independently and to prioritise to agreed deadlines.
  • Clear and engaging communication skills, both written and verbal.
  • Keen to learn and an ability to self-direct, self-motivate and work within a small team.

Desirable

  • Working towards a qualification in bookkeeping or accountancy such as ACCA or CIMA.
  • Experience of the charitable sector in the UK or USA.
  • A demonstrable interest in in the international development / health sector.
  • Language skills beyond English (French and Spanish being particularly useful).
  • Health & Safety and/or safeguarding certifications.
