From February 2024, Saferworld and its partners will commence the implementation of a project titled Strengthening integrated peace, resilience and disaster risk reduction for cross-border communities in the Karamoja Cluster. The overall objective of the project is to enhance effectiveness of conflict prevention and mitigation, disaster risk reduction and management, and resilience building in cross-border communities in the border region of the Karamoja Cluster (South Omo/Ethiopia, Turkana/Kenya and Eastern Equatoria/South Sudan). Specifically the project aims at enhanced capacities of formal and informal cross-border stakeholders in conflict prevention and management and social cohesion building, with particular focus on women (and youth). in addition to this is the enhanced access to income generating opportunities and shared natural resources for borderlands community members.

Job purpose

To maintain accurate financial records of the project, effective control systems, and to produce donor reports and accounts.

The Finance Assistant will be responsible for providing a range of financial support services. S/he will work as part of the finance team & HR team and be responsible for providing financial assistance to programme staff and partners in Kenya .

Roles and responsibilities

  • Support in financial monitoring to partners to ensure partners are aware and adhere to the donor financial guidelines
  • Provide training to partners on financial management of donor funds.
  • Monitor partner expenses, review their financial documents monthly and upload to SUN System
  • Monitor expenditure by the approved budgets and budget lines.
  • Ensure all activity expenditure is within the appropriate budget allocations.
  • Oversee the accurate recording of financial transactions, calculation and payment of salaries for partners, allowances and other payments.
  • Prepare payments and settlements ensuring they are supported by appropriate documentary evidence.
  • Maintain a computerised accounting system/post processed data in line with agreed procedures of cording accuracy, collect allocation of project (SUNsytems)
  • Petty cash maintenance.
  • Prepare fund requests and expenditure reports
  • Prepare reports for fundraising purposes
  • Working with Finance Officer, keep track of relevant financial deadlines and ensure adherence to donor guidelines and regulations with regards to financial reporting.
  • Support in preparation of project financial report to donors
  • Proactively participates in the preparation and review of project budgets
  • Support in monitoring project expenditures
  • Support project officer to manage payments and receipts, including cash handling, direct debit processing, bank charges etc.
  • Input data into financial system (Sun). Sales and purchase ledger
  • Suppliers statements and reconciliations
  • Monitor and liaise with staff and partner organisations to ensure that financial receipts and payments are accurate, timely and appropriately handled.
  • Maintain computerised accounting records in the financial system.
  • Maintain files to audit standards.
  • Maintain proper debtors and creditors statements and schedules.
  • Support production of monthly and quarterly financial statements
  • Assist during audits (internal or external)
  • Filing statutory monthly returns and deductions on due dates. i.e NSSF, NHIF, NITA & HELB.
  • Assist with the preparation of cash flows and funding reports as required
  • Provide support to the finance officers and financial controller/auditors when required
  • Prepare the weekly or monthly cash reconciliation.
  • Monitor partner expenses, review their financial documents monthly.
  • Prepare and support project and statutory audits

PERSON SPECIFICATION

  • Bachelor’s degree in accounting, finance, business or related subject.
  • Professional accounting qualification i.e CPA,ACCA
  • Proven understanding of book-keeping principals
  • Experience of financial administration ideally within the non-profit sector
  • Experience of computerised accounting software (SUN) is preferable
  • Excellent working knowledge of Microsoft Excel
  • High level of numeracy skills
  • Excellent planning and organisation skills and efficient working methods
  • Ability to work as part of a team and unsupervised
  • Ability to work to deadlines
  • Attention to detail
  • Ability to work under pressure

TERMS AND CONDITIONS

Probation: There will be a three month probation period

Hours: 37.5 hours a week
