Geneva Call is a neutral and impartial non-governmental organization dedicated to promoting respect for international humanitarian norms in armed conflict and other situations of violence. Geneva Call is currently focusing its efforts on banning the use of anti-personnel mines, protecting children from the effects of armed conflict, prohibiting sexual violence in armed conflict and the protection of the medical mission.

Under the supervision of the Admin, Finance and HR Officer, the Admin and Finance Assistant contributes to the operations of the Geneva Call by assisting in the administration and Finance aspects of Philippines operations.

Main activities

S/he assists the Admin, Finance and HR Officer in managing the finance, office administration and human resources of the Geneva Call office in Cotabato City according to the internal procedures and guidelines.

For all tasks: The job holder respects the confidentiality of all administrative, financial and HR information.

1. Administration and Logistics

I.a Office Administration

  • Supports Geneva Call office in overall administrative management;
  • Support with administrative issues of staff, cleaner, drivers etc;
  • Support purchasing office supplies, their management and record keeping;
  • Support inventory and update reporting to Admin, Finance and HR Officer on monthly basis;
  • Support in ensuring legal requirement-permits and Visas- of expatriates are in place, when needed;
  • Ensure that office is well maintained.

I.b Logistics

  • Support local procurement and sourcing of car rental providers , suppliers etc;
  • Assist timely management of purchases and suppliers payment process;
  • Maintain good working relationships with suppliers;
  • Provide logistic support to the programme team during field activities, when needed;
  • Support the Finance Officer in all logistics related payments and record keeping.

2. Finances

  • Support the Admin, Finance and HR Officer with financial tasks;
  • Support the Admin, Finance and HR Officer with scanning, filing and record keeping of financial documents;
  • Support in the checking of field expenses before booking in the system;
  • Any other task as requested by the line manager.

Main qualifications

Education and experience

  • Bachelor’s Degree in Accountancy, Business Administration or any Business-related course;
  • At least 2 years in similar position;
  • Experience with international organisation is preferred.

Technical skills

  • IT Tools (basic knowledge of MS Office, Excel, Reporting tools);
  • Basics of Admin, Finance, and Human Resource Management.


  • Experience in assisting in Finance and office administration tasks, and dealing with Government offices (BI, DOLE, BIR, SSS etc);
  • Basic knowledge and experience of using Admin/ Finance management tools;
  • Ability to take responsibilities, proactive and efficient functioning, pronounced communication skills;
  • Accuracy and reliability.


  • Required: Fluent English and Tagalog;
  • Preferred: fluency in local dialects such as Maguindanaoan, Teduray, Maranao, Iranun.
