Job Description:

Badael is looking for a Finance & Admin Officer to join its team and support the day-to-day activities of the Finance and Admin department. The core responsibility of this position is to manage the accounting and the administrative activities while complying with legal and donor financial requirements and will be reporting directly to the Finance and Admin Manager to ensure that all the duties are conducted in a timely manner.

Starting Date: As soon as possible.

Type of Job: Full time.

Contract type: Employment Contract.

Location: Berlin, Germany.

Responsibilities:

Financial Duties:

  • Closely monitor the financial activities and keep the Finance Manager and other management staff advised of all situations which may impact on internal controls or financial performance.
  • Assisting in the overall financial operations and accounting procedures; ensuring timely and accurate record keeping and reporting.
  • Prepare monthly financial reports for the Finance Manager, including expenditures by cost center/project and other financial information, in a timely and accurate manner.
  • Maintain adequate filing system of financial documents in collaboration with the finance and programme team.
  • Support the Finance Manager to ensure monthly cash forecast/requirements are compiled for all departments.
  • Support programme teams for payments requests, financial accounting, monitoring and reporting systems.
  • Other finance-accounting related work as required or needed.

Administrative Duties:

  • Maintain the Employees and Consultants register, administer agreement/contract and the documents filing in both hard copies and electronic copies.
  • Collect completed timesheets and leave requests for review and submit to the Management on a monthly basis.
  • Maintain and ensure staff personnel data in work system is correct and updated in timely manner.
  • Support organizing internal and external meetings and workshops.
  • Support with travel arrangements as necessary (flights, VISA and hotel bookings)
  • Manage office supplies, including inventory and purchasing.
  • To be the first point of contact for general communication enquiries including dealing with the different legal public or private entities.
  • Respond to employees’ questions about benefits and provide sufficient support to them
  • Performs general administrative support functions for the department.
  • Preparing and posting job advertisements, screening applications, arranging interviews, participating in selection process, and administering pre-employment tests as required.
  • Conduct orientation for new staff on staff benefits, timesheet and Bedale’s polices.

Job Requirements:

  • Education: Bachelor or Diploma in Finance, Management, or related field.
  • Work Experience: Minimum 3 years’ experience in Finance and Admin and Experience in a non-profit organization and international environment is preferable.
  • Demonstrated Skills and Competencies: Strong organizational skills, good at multi-tasking and flexible.
  • Experience in analyzing and interpreting financial data.
  • Demonstrated commitment to teamwork and Badael values (Respect, Diversity & Integrity).
  • Able to work under pressure with minimum supervision. Good task prioritization skill with people management skill.
  • Good knowledge in German labor law.
  • Positive attitude, Excellent and team-oriented person.
  • Ability to work to regular deadlines and adapt to changing situations.
  • Excellent time management skills.
  • Good command of written and spoken Arabic and German, English is a plus.
  • Proficient in Microsoft Office and in Excel particularly.
