Job Overview:

The Finance and Administrative Specialist will be responsible for providing support to the administrative, finance and operations team at IRC SLC as arrivals increase. This position reports directly to the Administrative Coordinator and works closely with the Finance Coordinator as well.

Major Responsibilities:

Finance

· Support finance team in distributing client direct assistance including, but not limited to, pocket money, emergency rental assistance, and bus passes.

· Assist in inventory counts and record keeping.

· Coordinate new employee access and maintain vendor records in Integra (Microsoft Dynamics 365), IRC’s enterprise resource planning and accounting system.

· Update grant information, including budget uploads, in internal tracking sheet and Integra.

Administrative

· Assist Administrative Coordinator with new hire-related tasks including, but not limited to, preparing paperwork, updating organizational chart and adding new hires to office calendars.

· Assist Administrative Coordinator with staff tracking items like background checks and maintaining staff contact information.

· Maintain clean office environment inline with COVID-19 and other safety and security protocols.

· Order supplies (restroom, kitchen, office) for both office locations.

· Draft monthly IRC SLC Digest, an internal monthly summary of activities around the office.

· Support office culture and training development efforts.

Additional

· Other related Finance and Administrative tasks as assigned.

  • Participate in all program meetings, staff development activities, and fully engage as a member of the team.
  • Comply with all policies, procedures and protocols of the agency.

Job Requirements:

Education/Work Experience:

· Associates Degree or equivalent work experience, preferably in a non-profit or social services agency environment.

Demonstrated Skills & Competencies:

  • Demonstrated success working and communicating effectively in a multi-cultural environment.
  • Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.
  • Attention to detail and accuracy in work product.
  • Fluent in English, both spoken and written.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research and problem-solving purposes.
  • Valid driver’s license and access to a personal, insured vehicle.

Working Environment:

  • A combination of standard office environment and remote work.
