JOB DESCRIPTION

These attitudes and believes shall guide our actions and relationships. The purpose of the Field Office Coordinator is to run the day-to-day support functions at a field office. The following is a brief description of the role.

RESPONSIBILITIES

Generic responsibilities

  1. Manage support staff at field office level
  2. Manage day to day HR & Admin, finance, logistics, and security tasks of the field office
  3. Ensure adherence to NRC policies, handbooks, procedures, and SOPs/guidelines
  4. Ensure adherence to Security and Risk Management policy and procedures
  5. Coordinate and assist with budgets and costs for the field office’s shared costs and support functions
  6. Provide support in the training and development of staff
  7. Provide support to project implementation at field office level
  8. Coordinate representation meetings with the UN, partners and authorities
  9. Promote the rights of IDPs/returnees in line with the advocacy strategy

Specific responsibilities

  • Ensure that NRC Finance, Logistics, HR and Security procedures, rules and regulations are adequately and timely implemented in the NRC field office in Chernihiv
  • Facilitate effective integration between support departments and regular coordination between support departments and programme teams
  • Organize and facilitate regular team meetings in the field office
  • Under the close supervision of the Area Manager, represent NRC externally in Ternopil and liaise with local authorities (oblast civil-military administration, hromada administrations, etc.), UN agencies, other NGOs and support the teams in day-to-day access negotiation as per need.
  • In coordination with the HSS Coordinator, monitor the security situation in Ternopil oblast and make sure that security protocols are applied and respected.
  • Day-to-day approval of annual/sick/compassionate leave requested by staff in the field office and monitoring of daily attendance.
  • Attend to any other tasks that will be assigned by the Area Support Manager and Area Manager.

QUALIFICATIONS

Professional competencies

  • Experience from working in support functions in a humanitarian/recovery context.
  • Previous experience from working in complex and volatile contexts.
  • Documented results related to the position’s responsibilities.
  • Previous management experience.
  • Fluency in English, both written and verbal, is required.

We offer

  • Type of Contract: national employment contract.
  • Duration of Contract: until 30.12.2023 (with possible extension).
  • Salary/benefits: According to NRC salary scale, terms, and conditions.
  • Duty station: Ternopil, Ukraine.
