Summarized Purpose

The Facilities Coordinator supports the Global Clinical Development and Global Clinical Supply offices in Kiev in the delivery of Facilities service throughout the site.

Essential Functions

  • Performs reception duties, including but not limited to registration of visitors and contractors, mail sorting and distribution, courier shipments, print room management, stationary management, management of all visitors passes, keys and car parking.
  • Performs general facility support tasks, such as building security, service inspections and daily checks and reports failures, document storage and project work.
  • Plans and supports building and equipment maintenance as per business needs, schedules repairs and interventions.
  • Manages contracts and contractors.
  • Orders supplies and manages inventories.
  • Liaises with landlord, suppliers, contractors, local management and Facilities management on a daily basis.
  • Supports H&S on site.
  • Presence in the office will be required from Monday to Friday (09:00 am – 06:00 pm). Occasional outside of hours work is possible to respond to facility-related emergencies.

Job Qualification

Education And Experience

High / Secondary school diploma or equivalent and relevant formal academic / vocational qualification.

1- year or more experience in an administrative position is a plus.

Knowledge, Skills And Abilities

  • Able to work alone, autonomously and with little direction.
  • Language skills: good spoken and written knowledge of English is required for the job.
  • Highly organized, able to work to tight deadlines, to prioritize workload and utilize time efficiently to maximize the number of tasks completed.
  • Team player.
  • Perform tasks efficiently and accurately with minimal supervision.
  • Consistently positive attitude and the ability to interact effectively with others.
  • Strong oral and written communication skills.
