Description:

This position will work on-site in the office environment. The opportunity exists to work from home one to two days weekly depending on need and supervisory approval.

POSITION SUMMARY:This position provides administrative support to the President of Saint Joseph’s Mercy Care Services and designated executive staff. Responsible for organization and coordination of internal and external meetings. Compiles and distributes minutes of all Board, Leadership Team and Mercy Council meetings. Maintains organization records and files. Acts as liaison for Leadership Team and corporate staff. Communicates with board members, volunteers and donors. Responsible for management of administrative offices, as well as implementation and completion of designated special projects.

Manages a high-volume day to day calendar, including scheduling appointments and prioritizing the most sensitive and confidential matters. High level of integrity required for handling sensitive and confidential information.Uses MS Word, PowerPoint, Excel, and Project to create presentations and/or special reports.Provides assistancewith writing and editing emails, drafting memos, and preparing communications on behalf of the President and leadership.Screens and prioritizes all calls, mail and/or meeting requests.Acts as primary point of contact for President and leadership.Takes detailed notes/minutes during Board, leadership, and general meetings capturing important information and action items that facilitates accountability.

Participates in health fairs or community events on weekends as requested 3-4 times a year.

EDUCATION REQUIREMENTS:Bachelor’s degree in Business Administration or similar disciplines required. Additional education in computers, word processing, business English necessary. Medical terminology helpful.

EXPERIENCE REQUIREMENTS:Minimum of five yearsexecutive assistantexperience, with at least three years at the executive level. Utilization of computer and information systems are required. Experience in health care environment preferred. Experience in public relations and community services preferred.

JOB KNOWLEDGE:Strong skills in organization, prioritization, and written and verbal communication are essential. Ability to coordinate, develop and implement special projects with little or no supervision. The ability to work on multiple projects concurrently and adapt to changing priorities are required. Skilled typing ability of at least 65 wpm. Advance proficiency in Microsoft Office and Project.Resourcefulness, discreet, and will remain calm under pressure
