BRAC USA staff work in a hybrid work environment that includes both in-office and remote work arrangements. This position will be based in the Northeast, with a preference for candidates located in the DC or New York area. This role combines the benefits of remote work flexibility with the need for in-office collaboration.

About the Position

BRAC USA is seeking an Executive Assistant to provide support to our Chief Executive Officer (CEO) and Chief Operating Officer (COO) with prospect, donor, and stakeholder relationships through meeting preparation, meeting follow-up, and written correspondence, management of professional calendar, engagement tracker, to-do list, and external email account.

Executive Assistance

  • Managing the CEO and COO’s professional calendars and coordinating directly with internal and external contacts to schedule meetings.
  • Managing email communications from external email accounts.
  • Preparing and organizing documents, reports, and presentations for executive meetings.
  • Attending meetings, taking notes, and preparing meeting minutes when required.
  • Logging contact details and documentation in Salesforce.
  • Providing support with selected tasks related to the BRAC USA Board of Directors.

Writing and Fundraising Support

  • Conducting in-depth research on new and prospective individual donors, family foundations, and select institutional donors, synthesizing into meeting briefs and other materials.
  • Scheduling donor meetings and coordinating preparatory meetings in advance of key interactions.
  • Drafting external introductory, thank you, and follow up emails.
  • Proactively writing meeting debriefs for knowledge management purposes.
  • Drafting and editing donor reports, concept notes, letters of intent, grant letters, and proposals for select individual or institutional relationships.
  • Drafting solicitation emails for high priority prospects, Board members, and select family and friends.
  • Drafting emails for major communications and announcements.
  • Supporting and monitoring follow-up action items.
  • Supporting logistical details and planning partner engagement events, activities, and trips.
  • Managing external task lists to ensure movement along the pipeline for major donors and handling specific action items where appropriate.
  • Drafting written updates for participation in BRAC Global convenings.

Finance & Administration

  • Assisting with business travel plans, travel expenses, and visas.
  • Processing credit card expenses.
  • Managing e-signature insertion into key documents.

Other

  • Facilitating excellent internal relations, staff coordination and communication.
  • Maintaining bandwidth and anticipating additional work hours for specific times of year, such as at year-end, before and after domestic and international meetings and events, and before and after UNGA and West Coast Board week.
  • Conducting all other activities required to ensure successful daily operations and highly effective management.

Required Skills/Abilities:

  • Proficient in Google Suite and MS Office.

Minimum Qualifications:

  • Bachelor’s degree or equivalent experience preferred.
  • 1+ year of work experience (e.g., part- or full-time, work-study, internships).
  • Proficient in Google Suite and MS Office.
  • Proficiency with Salesforce, Google G Suite and Microsoft Office Suite skills.
