Job Overview/Summary:

The Executive Assistant is responsible for preparing and managing day-to-day activities required for running the portfolios of both executives, as well as critical initiatives and high priority projects. The ideal candidate will provide support to the Executive Director and Chief Strategy Officer by preparing briefing materials, crafting writing requests for correspondence or other initiatives, liaising with key collaborators internally and externally, partnering to improve knowledge management activities, and managing and evaluating inbound requests. Effective execution will require preparation for engagements, structured communication skills, and the ability to handle multiple priorities in collaboration with cross-functional colleagues. A critical part of the role is acting as a proactive, visible leader among peers across, providing insight into and supporting some of the most strategic and critical efforts of the IRC.

Major Responsibilities:

  • Assist with day-to-day support of the Executive Director’s and Chief Strategy Officer’s engagements and meetings, including briefing materials and other written materials related to nonprofit critical initiatives
  • Evaluate and prioritize requests against each executive’s strategic priorities and proactively find opportunities to increase the efficiency and effectiveness of the two executives.
  • Serve as a liaison between the executives and key partners and oversee follow-ups through to completion. Ensure a cohesive culture for the Strategy Unit and Movement Against Malnutrition by designing, developing, and implementing effective communication strategies and communicating regularly with executive staff.
  • Conceptualize and coordinate international travel as needed, including program meetings, flight, accommodation, visa application, and ground transportation.
  • Maintain ongoing knowledge of key department strategies and initiatives to brief the Executive Director and Chief Strategy Officer weekly and write organization-wide communications.
  • Review and submit expense reports, purchase orders, contract payments and other finance transactions for approval. Support rollout of systems and processes related to expensing.

Job Requirements:

Education: Bachelor’s degree or equivalent experience

Must be able to work on-site in NYC office

Work Experience:

  • Minimum: Minimum 3 years of full-time professional work experience, with at least 2 years of experience working at a complex organization and/or with senior collaborators

  • Service-orientation and flexibility: dedication to help and support in a fast-paced, constantly evolving environment
  • Learning Approach: Strong computer proficiency in Microsoft Word, Excel, Power Point and Outlook. Adept at learning new technology platforms.

Language Skills: English (fluent); French, Spanish, or Arabic is a plus

Compensation:

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
