We are currently recruiting an Executive Assistant to join our team, ideally based in Washington DC, US. This is a hybrid position, where the successful candidate will work from our office in DC 3 days a week.

Note you must have the right to work in your remote home based location and that national terms and conditions apply.

About the opportunity

You will support the strategic objectives of the organization, by providing high-level support to the Executive Office (CEO and Chief of Staff) and other Global Senior Management Team Members. Reporting to Chief of Staff, you will proactively manage schedules, calendars (internal and external), plan and organize travel and meetings, process expenses, and draft communications.

This role is a pivotal support position at an exciting time in RI’s history, as we welcome a new CEO, and embark on strategy and fundraising efforts in 2023. The Executive Office, including the Executive Assistant, interacts with RI’s Global Senior Management and Leadership Teams, Country and Regional leaders, and Boards of Directors.

Key Responsibilities

  • Draft, edit and compile a wide variety of internal and external communications
  • Support knowledge management through maintenance of Teams, SharePoint or other relevant sites
  • Organize in person and virtual meetings, including all scheduling, coordination, reminders, and logistics when necessary
  • Manage the CEO’s calendar in MS Outlook, including making appointments and prioritizing the most sensitive matters
  • Manage and arrange end to end travel for Executive Office and Board meetings.
  • Attend meetings when requested to record and produce minutes and manage any related videoconferencing technology
  • DC office administration, including daily mail processing, phone management, filing and supply organization.
  • Maintain information and files related to Boards, Executive Office, and special projects.
  • Participate and coordinate special projects and complete other duties as assigned

About you

You will bring the following experience and skills.

  • Experience supporting senior leaders, ideally gained working at C-Suite level
  • Experience providing administrative support, including scheduling, meeting coordination, file management, drafting communications, and managing travel and expenses.
  • Must be able to come to the Washington DC office, at least 3 days a week.
  • Approachable and proactive, keen to research and learn new tools/skills.
  • Strong attention to detail, and team coordination skills
  • Flexibility, creativity in problem solving, and patience
  • Interest in the field of international humanitarian and development assistance

Desirable:

  • Strong written communication skills
  • Strong MS Office 365 skills, particularly MS Teams and SharePoint.
  • Experience using MS Outlook calendar and scheduling for C-level executives and Boards of Directors
  • Experience with process or systems improvement
