Overview:

We are partnering with a well-respected International Environmental Conservation Nonprofit to assist them in recruiting an Events Assistant. They will assist with the coordination of regional prospecting, cultivation, and stewardship events that are designed to engage and maintain current donors and expand the base of donors and prospects. Provide logistical support for Development and institutional events as assigned. Provide administrative support to Events team, including expense report processing, updating events calendar, ordering event supplies, etc.

This position will start out temporarily, but this position could be temporary to permanent for the right match.

Key Responsibilities

  1. Work with event director, event specialist, fundraisers and volunteers to provide support throughout all stages of event planning
  2. Research and recommend event sites, oversee production and distribution of invitations and other printed materials for events.
  3. Provide on-site assistance at events as necessary.
  4. Monitor Events phone line and respond to inquiries in a timely and professional manner
  5. Track RSVPs, produce nametags, place, escort and menu cards, gather and ship meeting materials, and manage event registration.
  6. Responsible for the coordination of timely internal event follow-up including CRM, bill payment, and maintaining organized event files.
  7. Schedule site and vendor visits, and other meetings
  8. Performs other duties as assigned.

Skills and Abilities

  • Bachelor’s degree
  • Must possess the confidence and professionalism to be able to work independently and successfully with volunteers, high level staff, consultants, vendors and venues
  • Must be able to work well independently and with a team
  • Ability to multi-task, meet deadlines, and make quick, realistic decisions under pressure
  • Strongly detail oriented
  • Strong project management skills
  • Experience entering information into donor/fundraising database systems

Preferred Skills

  • Three years of proven experience in event coordination and execution
