Events Administrator (Full Time/Part Time Opportunity)

Division: Fit Out

Location: Aldgate, London

We are searching for a talented and motivated event administrator to help organise outstanding and exceptional events. You will be responsible for the research and preparation of all external events for Fit Out UK. You will ensure all events are successful and cost-effective, paying attention to budget and time constraints.

As the event administrator, you should be well-organized and possess a sound knowledge of vendor management. Excellent communication and attention to detail skills are vital in this role.

Key Accountabilities

To deliver quality, accurate, timely and effective event administration support to the Business Development Team and wider Fit Out Division

  • Supporting the formulation and implementation of all event plans and concepts
  • Assisting with the internal planning and organisation of annual industry events
  • Liaising with vendors to create bespoke events and negotiate the best packages available
  • Researching new venues and restaurants
  • Monitoring internal budgets to ensure best return on investment
  • Understanding internal event, gifts and hospitality sign off procedures and completing relevant documentation
  • Maintaining positive relationships with internal and external stakeholders through regular communication, updates, and feedback
  • Handling guest enquires for all events in a timely and efficient manner
  • Managing transportation for internal and external stakeholders/clients to and from events
  • Regular administration and monitoring of the internal events schedule and calendar
  • Assisting with the management of professional networking accounts for the Business Development team to increase social media presence and engage audience
  • General administration support to the Business Development Coordinator
  • Periodic expense management for the Business Development team

Skills & Experience

  • Proven experience of working in a similar role and/or relevant qualification
  • Exceptional verbal and written communication skills
  • Possess good attention to detail with accurate reporting
  • Commercially astute with confident negotiation capability
  • Confident IT user for Microsoft office (Word/Excel/PowerPoint). Experience of using Adobe InDesign or similar is desirable
  • Ability to multitask and organise own workload
  • Confident, professional manner
  • Enthusiastic team player
