Seeking the BEST Donor Services Associate

The Ottawa Hospital Foundation is recruiting a Donor Services Associate to join our gift processing team. Attention to detail is critical for this role as the incumbent will receive and process incoming donations, including opening mail, batching, data entry, and updating Raiser’s Edge (our CRM database). The successful candidate will also serve as the first point of contact for general inquiries to the Foundation, and will liaise with donors, our hospital partners, community partners, and other stakeholders via our main telephone line. We are looking for a skilled administrator/customer service agent with experience in gift processing, and/or CRM databases.

Position Type: Full-time, permanent (37.5 hours per week)

Number of vacancies: 1

Location: Onsite work is conducted in non-clinical areas of The Ottawa Hospital’s Civic Campus (737 Parkdale Avenue). This position is strictly on-site as the incumbent will have to handle cash, cheques, and other hard-copy materials. The position does not presently require any in-person interactions with members of the public, but the incumbent will work alongside a handful of onsite workers in a socially distant office environment.

COVID-19 Safety Protocol: TOHF complies with all Health and Safety regulations that are established by The Ottawa Hospital’s Occupational Health Department, which presently includes: daily health screenings for all staff, the mandatory use of face masks, frequent custodial cleanings, and reminders to observe social distancing/good hand hygiene.

Language: Bilingual English & French essential

Years Experience: 2-3 year’s experience in an administrative, finance, or customer service role. Experience with Raiser’s Edge or an equivalent CRM database is essential. Experience in a fundraising environment would be considered an asset.

Primary Responsibilities

-Receive, process, and deposit incoming donations to the Foundation daily.

-Enter donations and donor information into Raiser’s Edge database system with accuracy and attention to detail, in a timely and efficient manner.

-Provide exceptional customer service as the lead for our main phone line: taking donations, troubleshooting, and triaging calls to appropriate team members.

-Liaise with donors and others to seek updated contact information when outgoing mail is returned as undeliverable.

-Update donor profiles to reflect changes in address, email consent, mailing preference etc.

-Manage the filing system for all gift documentation, ensuing completeness of records for audit purposes.

-Additional administrative tasks, such as ordering supplies, as needed.

Knowledge, Skills, Abilities

-Strong data entry skills

-Proficient with the use of database technology and other business software.

-Strong communication skills in both official languages.

-Tact, diplomacy, and maturity in dealing with stakeholders, including donors, volunteers, colleagues and the general public.

-Ability to work in a fast-paced environment with tight deadlines.

-Superior organizational, time management, and attention to detail skills.

-Excellent judgement in handling confidential information.

-Experience with Raiser’s Edge or similar CRM database is considered essential.

-Expertise in Microsoft Office, including Excel and mail merge tools is required.
