Donations Coordinator

Position Overview:

The Donations Coordinator is responsible for the organization and oversight of the in-kind and donations system. Specific areas of oversight include: Individual and corporate item donations, third-party donation drives, maintenance of the donations center, and other units as needed, special events, and record keeping as per internal and program/donor requirements. The Donations Coordinator is responsible for planning, executing, and monitoring specific donation campaigns, along with ensuring good stewardship of resources. This position reports to the Development Director and is a full-time, non-exempt position.

Essential Responsibilities:

  • Act as the point of contact for individuals, businesses, groups, faith-based organizations and IRC HQ Corporate Engagement staff, contacting and/or interested in donating to the IRC Dallas office.
  • Communicate to donors items the IRC can/cannot accept.
  • Manage large cash in kind (CIK) donation grants.
  • Maintain the donations center.
  • Work with colleagues to assist clients in scheduling donation appointments for the donations center.
  • Manage distribution of donated items to clients with the help of staff, volunteers and interns.
  • Plan, coordinate, and oversee donation events (Home for the Holidays, Spring Cleaning, and other donation drives).
  • Complete all documentation to track receipt and distribution of donations.
  • Enter data into Integra and ETO on a monthly basis and ensure appropriate paperwork is filed into client case files.
  • Provide monthly reports to finance department per grant requirements.
  • Follow standardized processes and internal procedures.
  • Assist the Development team in planning and implementation of special events, outreach, communications, and other development efforts as needed.
  • Attend monthly Resource Development Communities of Practice calls with the IRC network.
  • Other duties as required

Other Internal and/or external:

Internal: The Donations Coordinator works closely with the Development team. In addition, the Donations Coordinator may work directly with IRC HQ corporate engagement staff.

External: The Donations Coordinator will liaise with wide variety of individual supporters, donors and volunteers.

Requirements:

  • Bachelor’s Degree strongly preferred
  • Minimum of 2 years’ related experience, preferably in a not-for-profit, multicultural environment
  • Ability to work effectively with partners, in-kind donors and clients
  • Ability to communicate effectively and work as a team member in a diverse, cross-cultural environment.
  • Solid organizational experience with the ability to juggle multiple tasks, set priorities, effectively, manage time and meet deadlines.
  • Accuracy and attention to detail.
  • Proficient in Microsoft Office including Outlook, Word and Excel.
  • Fluency in English, written and spoken.
  • Ability to lift 50+ lbs.
  • Valid driver’s license and access to a personal, insured vehicle.

  • Fluent in English, both spoken and written; proficiency in language(s) spoken by client group is desired.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes.

Valid driver’s license and access to a personal, insured vehicle

Working Environment:

  • A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
  • May require occasional weekend and/or evening work.
