JOB PURPOSE

The Warehouse and Donations Coordinator ensures that the Collective Aid (CA) France project receives enough non-food items (NFI) via material donations and that those are rightfully stored and organized in our warehouse space. They build and nurture relationships with European and British donors and make sure the stock is always enough according to the needs on the ground. The Warehouse and Donations Coordinator works closely with the Project Managers on sourcing incoming items and planning stock. They work with the Human Resources Coordinator on onboarding new volunteers and training team leaders, as well as with our partner associations with whom we share the warehouse.

At any one time, Collective Aid supports, as one of the main NFI-Distributors, between 1000 and 2000 people sleeping rough in Calais, providing them with clothing and bedding equipment. Although the infamous Calais Jungle was evicted in 2016, large numbers of migrants continue to live precariously in the North of France. Facing evictions by the police every 48 hours, the people we support have constant material needs.

Our Warehouse and Donations Intern is responsible for helping with procurement, working with our clothing and equipment donor networks in the UK and Europe, and building relations with current and future donors. They work closely with our Managers on stock planning, ideally spending three days in the office and the warehouse and two days in the field doing distributions.

RESPONSIBILITIES AND EXPECTATIONS

Donations related:

-Proactively respond to NFI needs of the CA Calais project.

-Answer any donation inquiries and advise donors on CA France’s NFI needs.

-Liaise with our existing donor networks and develop new relationships, especially in mainland-Europe (post-Brexit).

-Support Managers with stock planning.

-Organize the reception of incoming donations.

-Facilitate solutions with funding partners and partner NGOs to finance and import NFI.

-Organize and participate in fundraising activities.

Warehouse related:

-Ensure the warehouse is well-maintained and is kept orderly, and that there is sufficient space for incoming deliveries.

-Ensure the warehouse space respects safety measures.

-Track all incoming and outgoing NFIs from the warehouse and ensure stock is tracked adequately.

-Train volunteers to lead warehouse shifts and make sure warehouse leaders are confident and know what to do.

-Manage teams of volunteers for processing and sorting incoming donations.

-Discuss ideas on ways to improve the efficiency and agility of the warehouse, and all associated operations and processes.

-Work closely with the other organizations we share the warehouse with.

-Be the focal point for warehouse guidelines and inquiries.

Other Tasks:

Work closely with the other coordinators and the project managers in Collective Aid.

-Represent Collective Aid at coordination meetings.

-Help to maintain interorganizational relations.

-Team-lead field work.

QUALIFICATIONS AND EXPERIENCE

-Fluent in English and a working knowledge of French. Other languages are an asset.

-Can commit for six months.

-Workable knowledge of excel and google sheets and forms is essential.

-Previous experience of working with grassroots NGOs is highly desirable.

-Experience working in customer relations, fundraising, business development or sales is desirable.

-Driver’s license is mandatory.

-A forklift license is highly desirable.
