Reporting into the Director of Internal Audit, the PA will play a key role in ensuring the smooth running of the Director’s office.
The Internal Audit Division is committed to providing the FCA with a first-rate independent business assurance function. It fulfils a critical role in the effective management and governance of the FCA. Internal Audit activities are made up of three types of work including assurance, investigations and advisory and cover all areas of the FCA.
Key Roles & Responsibilities
- Manage the diary of the Director, including dealing with meeting requests, using judgement on priority and ensuring the diary is maintained smoothly and effectively.
- Manage the inbox of the Director, including dealing with emails received, prioritising and re-directing them to the most appropriate person in the Division.
- Maintain departmental management information, including the department’s resource tracker.
- Monitor FCA-wide audit deadlines and actions and divisional deadlines and actions.
- Work with the resourcing team to assist in recruitment and on-boarding / off-boarding.
- Work with the co-source supplier to on-board and off-board staff supplied by the co-source supplier, and the management of IT assets.
- Co-ordinate papers for meetings and events.
- Co-ordinate divisional events such as away days and divisional meetings.
- Liaise with external stakeholders over the phone and by email.
- Play an active part in improving the way the Internal Audit team works.
- Assist the Director in managing the IA budget.

About You
Minimum

- Proficiency in IT skills, particularly Outlook, Word, Powerpoint and Excel
- Director PA experience
- Proven administration experience including strong diary management skills.
- Strong written and verbal communication skills.
Essential
- Integrity in dealing with sensitive information.
- Confidence in liasing with stakeholders at varying levels in the FCA and the Audit Committee and External Risk and Strategy Committee, BoE, NAO and co-source provider.
- Effective organisational and time management skills and ability to prioritise and manage workload.
- Attention to detail in both complex and routine tasks.
- Ability to collate and manage data effectively, drafting clear text and note taking.
- Able to work under pressure and to tight deadlines with a good eye for detail.
- Ability to look ahead, plan work and act on own initiative, as well as being a team player with a flexible and willing approach.
- Ability to act and work on own initiative, ensuring workload is managed effectively and spare time is offered to colleagues.
- Strong communication skills, with credibility to interact with people at all levels (oral & written) both inside and outside the organisation at a senior (CEO & Chairman) level.
- Good analytical, troubleshooting and problem-solving skills in a regulatory context.
