Responsibilities:

Overseeing the office environment, administration and documentation for Directors and Executive Management
Providing general secretarial services for Directors
Liaising and coordinating instructions with concerned department and affiliates.
Organizing trips abroad for Directors and Executive Management, Office Sales and After Sales Team Including, but not limited to:
Arranging flights, accommodation, travel insurance, liaising with customer, etc.
Preparation of paperwork for visa requirements, visa application and collection at related embassies
Processing new and renewal of employment visas, Trade License, Office Lease and all related to Jafza services through Jafza Portal
Processing and filling of expenses reports, including International Sales Team.
Arranging hotel and transportation for external visitors (customers, auditors, affiliates)
Organizing yearly budget and sales meetings
Dealing with local vendors for insurance providers, stationery, general office supplies
Handling local and international courier, document control and managing filling system
Other jobs upon request

 

Qualifications:

Bachelor’s degree major in Business Administration or related fields
At least 3 years practical experience in Administration function with multinational company (Currently based in Dubai)
Good command of both verbal and written English
Microsoft Office tools (Outlook, Word, PowerPoint, and Excel)
