Physicians for Human Rights (PHR), which shared in the Nobel Peace Prize in 1997, is a U.S.-based international advocacy organization working at the intersection of medicine, science, and law. Building upon its highly respected place in the field, and supported by a committed and talented team, PHR seeks a Development Operations Manager.

Organizational Overview

Physicians for Human Rights was founded in 1986 by five physicians who were united in the belief that health professionals, with their specialized skills, ethical duties, and credible voices, are uniquely positioned to prevent harm and promote respect for human rights. Since its founding, PHR has built a long and distinguished record of accomplishment by conducting groundbreaking investigations and advocacy, in concert with strategic partners.

PHR’s approach includes extensive documentation of the use of illegal and inhumane weapons in armed conflicts, attacks on civilians, and the physical and psychological impacts of torture and sexual violence as a weapon of war. Other core activities include protecting the rights of those seeking asylum in the United States, the human rights implications of the COVID-19 pandemic, and halting attacks on medical facilities and frontline health professionals.

Role Description

This position is an integral member of the Development Department and will work closely with other departments to support all the operations and smooth functioning of the organization. They are responsible for assisting in a full range of departmental operations, gift processing, and the donor database maintenance that support fundraising for PHR.

Responsibilities

Department Operations

  • Submit invoices to finance and updating and coding the expenses so that they are tracked in the department budget;
  • Work with the finance department on revenue reconciliation;
  • Print and mail major donor correspondence, materials;
  • Submit institutional reports and proposals;
  • Prepare emails for prospective institutional funders and individuals;
  • Pull and clean-up mailing lists to send to mail house and donors’ solicitations and stewardship;
  • Provide operational support to the gala planning team, as needed;
  • Respond promptly and professionally to all development-related enquiries and requests for information from internal staff;
  • Research and create donor profiles;
  • Coordinate supportive arrangements for meetings and appointments; and invoices and expenses
  • Send out monthly report from Development to PHR staff.
  • Support events including gala list pulling and supporting the organization of zoom meetings

Donor Services/Gift Processing

  • Process donations from multiple sources and revenue streams
  • Manage donation acknowledgment process, letters, emails;
  • Track individual and institutional donation and follow up in Salesforce;
  • Make sure codes on gifts are accurate and reportable for all departments;
  • Mark restricted funds as they come in and communicate with finance.
  • Contact donors if direct communication is needed on their donation status or cancellations.

Salesforce Management

  • Maintain clean data in Salesforce by updating constituent records, regular review of data integrity and hygiene, and partnering closely with Salesforce consultants;
  • Run complex Salesforce reports including revenue tracking, acknowledge letter lists, mailing lists, and annual report donor roll; Update donor records with communications and next steps and support colleagues to do the same;
  • Create and run tracking reports for all departments including finance, development, and advocacy.
  • Clean up Salesforce storage monthly to make sure PHR is under their limit;
  • Learn DemandTools to secure and clean data;
  • Cleanup of new contacts, so all data is trustworthy and reliable, merge duplicates, organize data within each contact, make sure updates are organized. Manage entry point and last touchpoint;
  • Set standards for how to keep data within Salesforce, create fields, develop workflow rules and process;
  • Clean up users, give permission to Salesforce at different levels;
  • Manage integrations and users;
  • Upload new leads on a monthly basis;
  • Create new parent campaigns for opportunities that are cross departmental and delete unused ones;
  • Create dashboards and reports for different departments;
  • Manage security of the database;
  • Set up trainings for departments;
  • Improve segmentation of data;
  • Regular audits of data: clean, archive, reach out to departments with questions, run health check, provide summary report, etc.;
  • Stay on top of Salesforce updates and disseminate information;
  • Provide new tools and solutions to make database usage easier for teams. Make sure the best practices are followed.

Requirements

  • Previous experience working in Salesforce, including creating reports, updating data and creating new records;
  • Strong working knowledge of Microsoft Office Programs (Word, and PowerPoint) with advanced knowledge of Excel required; and
  • Organizational and time management skills.

Qualifications of the Ideal Candidate

  • Bachelor’s degree in a related field or equivalent experience.
  • Two or more years of demonstrated successful development experience.
  • Attention to detail and a commitment to data accuracy; and
  • Outstanding organizational skills and the ability to manage multiple projects simultaneously while meeting deadlines.

Salary and Benefits

This is a full-time position located in New York City and is an in-office-based role (hybrid model). The salary is between $63,000-$95,000 and is commensurate with experience.
