Summary
American Progress has an immediate opening for a Development Operations Assistant to join its Development department. The ideal candidate is a self-starter who is detail-oriented, highly organized, and able to effectively manage multiple projects in a fast-paced environment. Reporting to the Director of Development Operations, the individual will be an integral member of the Development Operations unit and will increase the efficiency and efficacy of frontline fundraisers in the department.
The Development Operations Assistant will be driven by American Progress’ mission to improve the lives of all Americans through bold, progressive ideas as well as strong leadership and concerted action, with the aim of not only changing the conversation, but changing the country. This individual will be part of a dynamic department that supports work across American Progress’ five crosscutting priorities:

The Development Operations unit works with staff at both the Center for American Progress, a 501(c)(3) organization, and the Center for American Progress Action Fund, a 501(c)(4) organization.
Responsibilities:
- Accurately and promptly record donations and payments in the department’s Salesforce Nonprofit Success Pack (NPSP) database.
- Create and ensure the accurate and timely delivery of acknowledgments and disclosure letters for individual donors, and draft other clearly written and error-free donor correspondence as needed.
- Regularly review Salesforce reports to identify and correct data entry errors.
- Draft and edit clear and concise business process documentation in the department’s internal knowledge base.
- Serve as the department’s first point of contact for external email and phone inquiries.
- Manage and update document templates used by the department, including acknowledgment and disclosure letters.
- Manage the tracking of accounts receivable, including liaising with the Finance department.
- Schedule meetings for the team, including drafting agendas and taking notes.
- Identify and implement opportunities to improve the quality of data in Salesforce.
- Manage the department’s subscriptions to fundraising resources.
- Draft invoices and process purchase orders.
- Liaise with other operational departments as needed.
- Provide administrative support for the department.
- Perform other duties as assigned.
Requirements and qualifications:
- Bachelor’s degree or equivalent professional experience.
- At least one year of professional experience in a development department.
- Commitment to American Progress’ mission and broad progressive agenda.
- Commitment to the department’s values of being progressive, donor-centric, and entrepreneurial; demonstrating integrity; making decisions driven by data; and fostering a culture of mutual respect.
- Experience with Salesforce NPSP or other constituent relationship management and fundraising databases such as Raiser’s Edge, EveryAction, or NeonCRM.
- Demonstrated proficiency with Microsoft Word, Outlook, Excel, and SharePoint.
- Prior experience with Confluence, Smartsheet, or Jira is a plus.
- Prior experience with online donation platforms, such as Engaging Networks or ActBlue, is a plus.
- Ability to independently address questions, requests, and issues, including determining when to resolve them directly or to escalate to colleagues.
- Ability to independently prioritize, multitask, and meet deadlines in a fast-paced environment.
- Ability to take initiative, ask clarifying questions, and work both independently and as a member of a team.
- Demonstrated high degree of precision, accuracy, timeliness, clarity, and detail in all work.
- Outstanding written and verbal communication skills.
- Superior logic, reasoning, and problem-solving skills.
- Inquisitiveness, curiosity, and a desire to learn about fundraising, development operations, business processes, and technical systems.
