Key Accountabilities:

  • Follow Development workflow procedures to ensure maximum efficiency
  • Assist team members in business development, client meetings, presentations etc..
  • Coordinate/monitor sales process and procedures and assist team members when required to prepare the sales approval process and deal signing
  • Prepare sales/leads analysis and prepare related presentation to VP and team
  • Follow up on deal tracking system and update related software on Sales force or related system.
  • Coordinate and follow up with team members to ensure tasks allocated are completed.
  • Prepare and maintain departments data base (Clients/Projects)
  • Coordinate internal and external meeting, prepare minutes of meeting when required and action/task log.
  • Maintain files and records with effective filing systems
  • Support team members with various administrative tasks (presentation, disseminating correspondence, scheduling meetings etc.)
  • Support team in market research and data collection
  • Coordinate team traveling and business development requirement along with respective expenditure and approvals (travel, events coordination, meetings, client meetings etc.)
  • Monitor team expenses and budget – Cost control

Critical Expertise, Experience And Educational Attainment Required

Educational Attainment:

  • Associate’s/College degree; BSc/Ba in business administration or finance/accounting or relevant field
  • Hotel management related degree is a plus

Critical Expertise & Experience:

  • Proven experience as office coordinator or in a similar role – Minimum 7 years of experience
  • Experience in hotel industry
  • Knowledge of basic data analysis principles and projects/office management systems and procedures
  • Outstanding knowledge of MS Office, Excel, Power Point, “back-office” accounting software and sales/project management software is a place – IT proficiency is a must.
  • Working knowledge of office equipment (e.g. optical scanner)
  • Excellent communication and interpersonal skills
  • Organized with the ability to prioritize and multi-task
  • Reliable with patience and professionalism
