A Corporate Specialist position has just become available at a niche administration business within the Maritime field. The role is responsible for all production services provided to local and international clientele. Close collaboration with the Administration Team in other offices, including close collaboration with the branch office in Geneva, as well as with the Corporate and Legal Department at the US headquarters are essential to ensure excellent quality of services. The role also includes being Office Assistant with administrative duties and personal assistant to the Director.

This international company is a Zurich City-based affiliate of a U.S. company specialized in corporate registry administration. Since 1990, the company provides support within the Maritime business. The firm operates globally from 29 full-service offices. The primary responsibility of the Zurich business is to service Swiss and international business customers (legal and financial professionals). Business language is predominantly English.

Essential functions include:

  • Prepare and produce corporate documentation as per client’s request
  • Due Diligence and Risk Screening
  • Proof corporate documentation for compliance with the applicable law
  • Handling of various customer inquiries, sometimes complex legal issues, both orally and in writing
  • Use and maintenance of CRM databases (Oracle, Maximizer)
  • Cooperate with Geneva branch office and in-house lawyers
  • Perform various administrative duties including office supplies storage, handle collections, document printing, binding, and filing
  • Assistant duties within the office and personal assistant to the Director

Education and skills required

  • Commercial education
  • Practical experience in the fields of administration, paralegal an advantage
  • Good knowledge of data processors
  • Fluent in English business language and minimum B2 level of German
  • Good communication skills, written and oral
  • Previous working experience of administrative position
  • Ability to handle effectively requests from clients both in writing and orally and to provide high quality customer service
  • Talent for wide range of administrative duties both basic and complex in nature
