The Need

For 25 years, IJM has pioneered the work to protect vulnerable people from violence. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking a Coordinator, Human Resources and Administration (HRA) will support the management and coordination of all human resource and administration activities in Uganda. The Coordinator, HRA will support the Lead, Human Resources in administering the staff care programs, recruitment process, training and development function, ensuring compliance to policies and providing administrative support to the HR function. The Coordinator, HRA will ensure all administrative aspects of the office are undertaken which will include but not limited to procurement, licensure, compliance, maintenance and facilitation of staff amenities.

This position is based in Kampala, Uganda and reports to the Lead, Human Resources.

Responsibilities:

  • Together with the Lead, Human Resources, coordinate HR functions including recruiting, on-boarding, training, compliance, performance management, professional development, documentation, etc.
  • Manage service providers to ensure a vibrant, responsive and effectual spiritual formation and staff care program that creates a healthy work environment and culture.
  • Support the Lead, Human Resources to implement IJM performance management plans that include performance support plans, professional and leadership development programs.
  • Assist with the establishment of an in-house employee training system that addresses the training needs including training needs assessment, new employee orientation or onboarding, the measurement of training impact.
  • Maintain employee records including training records, staff care, onboarding, among others.
  • Support the Lead, HR in coordinating the recruitment process for employees, volunteers, and interns using hiring practices and procedures necessary to recruit and hire a professional, passionate and talented workforce.
  • Support the Lead, HR in coordinating the experience of interns, fellows and volunteer programme to ensure smooth onboarding and in-country experience.
  • Serve on employee selection committees or meetings.
  • Recommend employee relations and practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale and motivation.
  • Assist with the implementation of company safety, safeguarding and health programs. Track and post OSHA-required data and files reports.
  • Participate in conducting competitive market research and prepare pay studies to help establish pay practices that help to recruit and retain superior staff.
  • Seek approvals, make requests and account for HR finance related activities.
  • Provide day-to-day benefits administration services. Assist employees with any claim issues.
  • Develop and schedule benefits, orientations, and other benefits training.
  • Administer Group Personal Accident and Group Life claims.
  • Recommend changes in benefits offered, especially new benefits aimed at employee satisfaction and retention.
  • Support in the planning and execution of quarterly and annual retreats
  • Plan and execute all additional office-wide events such as but not limited to: Anniversaries, Commemorations, birthdays, Quarterly IJM Global video meetings, annual awards etc.
  • Support the procurement function in procuring goods and services that will serve the office.
  • Comply with all existing governmental and labor legal and government reporting requirements.
  • Protect the interests of both employees and IJM in accordance with IJM Human Resources policies and government laws and regulations.
  • Participate in IJM programs of professionalism and Christian spiritual formation.
  • Ensure strict adherence to IJM operational, finance, programme and human resources policies.

Requirements:

  • A bachelor’s degree in human resources, industrial/organization psychology or management or relevant field with postgraduate training human resource management preferred.
  • A minimum of four (4) years’ experience in human resource and administration management as HR officer, office administrator or similar position with HR responsibilities, preferably with an international organization.
  • Working knowledge of Uganda labour laws is desirable.
  • Experience in planning and delivering effective trainings.
  • Experience working in a multidisciplinary work environment.
  • Fluency in the English language both written and spoken is mandatory. Working knowledge of local languages added advantage.
  • Excellent organization and administrative, analysis, interpersonal and conflict resolution skills
  • Possess a valid driver’s license.
  • Excellent Computer literacy with proficiency in MS Word, Outlook, Power Point and Excel. Experience with workday or related HRMIS software is desirable.
  • Member of HRMAU preferred.

*What is a statement of faith?
