This role focuses on ensuring that excellent customer service is provided to all of our shareholders and clients through an up-front review and validation as well ongoing processing or rejection of operational documents of all incoming transfers, account transactions, dividend reinvestment requests, legal inquiries, issuer’s requests and lost certificates.
The incumbent is an expert member of the Operations team, sufficiently cross trained and knowledgeable in all possible transfer, legal or transaction requests and as such able to provide guidance, direction and training to the group and other interrelated units.

Key Accountabilities
Process and review general and complex data entry transactions for various transaction types including Estate transfers, purchases/sells, and account maintenance within established productivity and quality standards and minimal supervision.
Provide service that is based on a full understanding of the client’s requests. It is critical to meet those needs with timely as well as accurate advice or service.
Review and verify accuracy and completeness of source documents for processing following existing business rules with minimum supervision.
Communicate directly with clients
Identify source documents that are incomplete or have irregularities.
Escalate and handle complex inquires as needed per documented procedures.
Required to work overtime and assist other departments during peak volumes to assist in meeting our clients service level agreements.
Complete required internal training and compliance classes timely.
Provide Estate requirements to our clients
What will you bring to the role?
High attention to accuracy and detail.
A working knowledge of the securities industry as it relates to transfer agencies.
Estate Knowledge
Ability to handle inquiries from several sources (i.e. email, phone, fax, incident tracking system) and provide high quality responses and follow in house methodologies for tracking and follow-up.
Excellent telephone customer service and problem-solving skills.
Drives process improvements by identifying problem areas and presenting solutions to management.
Maintains confidentiality of any sensitive information as part of the job function.
Education and Experience
College or University; or equivalent combination of education and experience is preferred.
Must be knowledgeable with regulatory security requirements.
Broad knowledge of the Canadian Securities Industry, preferably from a Stock Transfer perspective an asset.
2-3 years industry experience required for this position.
Excellent knowledge of various Microsoft Office Applications such Microsoft Excel, Word, and Access.
Ability to build functional reference and tracking tools within an intranet platform preferred.
Must be adaptable to the changing needs of the department, including working in a rotating shift schedule between 8:30 to 7:00 pm.
Availability to work overtime as required.
