Summary

As a global organization, that has grown significantly in size over the past decade, CRS is now comprised of over 8,000 people from over 100 countries who collaborate to catalyze transformational change. Four Strategic Approaches that will enable the agency to achieve the Vision 2030 Strategy have been identified. One key Strategic Approach is to build a more agile, innovative, and impactful organization.

Global People Resources’ (GPR) new transformational approach to how we suppor t our staff around the globe and these projects will provide solutions that meet the needs of our global workforce. The Support Services team will support this transformational change by enabling the division to establish a clear and aspirational strategy and roadmap for the division’s key initiatives, superior operational standards (procedures and governance), clear and streamlined business processes, communications and collaboration, while providing support for staff to access appropriate training and resources to develop the competencies, skill sets and knowledge to excel in their roles. The efforts will require coordinating multiple work streams and result in an enhanced employee experience at scale. The Communications Specialist I is an integral part of the Support Services team and will report to the Manager II, Support Services. Key responsibilities include support for executive and board planning and document management, support for divisional financial and asset managemen t, collaboration on strategic communication needs, and support for internal business process improvement.

Key Responsibilities

Executive and Board Support

  • Handles all scheduling, including Outlook calendar management, internal and external meeting requests, conference calls and other appointments.
  • Arranges travel for executive, including coordination of tickets and visas with field-based staff, processes travel-expense reporting and reimbursement.
  • Attends meetings and produces meeting minutes as needed.
  • Support the coordination to prepare Board materials for HR related governance for the Executive & Compensation Committees.
  • Manage document storage for compliance with board protocols for the Executive and Compensation Committees.

GPR Division

  • Plans and coordinates the logistics of division-wide meetings and events or specific working group/team meetings, internally at headquarters and for visitors.
  • Support division-wide initiatives to strengthen division-wide community in a remote environment
  • Identify possible areas of collaboration between GPR teams based on strategy

Support for Divisional Financial and Asset Management

  • Support planning for the annual budgeting process, including forecasts and Annual Program Plan
  • Manage fixed assets including coordination with GKIM to deploy and/or receive assets at the Baltimore office and ordering sufficient fixed assets to ensure all new staff have access to computers on their first day
  • Process invoices for all GPR cost centers and be the back-up processor for the benefits and third-party payroll invoices
  • Assists with the hiring of consultants, including arranging associated contracts and coordinating logistics such as travel and payments.

Strategic Communication:

  • Produce documents, PowerPoint presentations, and other communication vehicles based on priority needs for GPR functional teams
  • Support the other Communications Specialist to write content for strategic GPR initiatives and on-going communication with CRS stakeholders
  • Formats, edits, proofreads, reproduces and distributes materials for key meetings.

Support for Internal Business Process Improvement

  • Identify opportunities for process improvements with internal-to-GPR procedures and support the development of improved processes
