PRIMARY FUNCTION:

To assist the Logistic manager and/or operation Manager with the coordination of all on going projects, work plans, schedules, manpower needs, etc. and all logistic activities and daily tasks of service level employees to include the receiving, storing, and distribution of all med/surg supplies and patient care equipment. Coordinates efforts between all three shifts at both campuses; provides supervisory coverage in the absence of a supervisor and performs routine clerical work, such as filing reports, and process routine store room orders. Works with Nurse Managers, Materiel supervisors, and Par staff to assure adequate supply availability for patient care. Assures that all work stations and storage areas are neat and organized.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Assist the Logistic manager and/or operation Manager with all on going projects, work plans, schedules, manpower needs, etc.
  • Gather information and prepare project plans – working with other team members as necessary.
  • Establishes timeliness, assigns responsibilities, and monitors and summarizes progress of assigned project(s).
  • Prepares reports and communicates with all material management teams members regarding the status of project(s).
  • Serve as primary communication link between project team, consultants, and Materiels management Department.
  • Participate in business meetings and conference calls – taking notes, gathering information and recording action items.
  • Follow up with appropriate personnel regarding the progress of action items.
  • Performs quality improvement inspections and enforces compliance with all Materiel management policies and procedures; performs supervisory function as directed by Manager of operation.
  • Develop and maintain priority lists for the revision of nursing par carts and supply location projects.
  • Works with Nurse Managers and Par staff in meeting their requirements for adequate par level and space utilization.
  • Analyze data from inventory management software to recommend PAR quantity changes.
  • Responds to all inquiries related to Nursing unit moves and coordination; provides information, resolves problems, or refers to others as appropriate; participates in all on going project meetings.
  • Coordinates efforts between all three shifts at both campuses; supervises service level employees and performs routine clerical work, such as filing reports, and process routine store room orders
  • Ensures departmental compliance with all applicable standards, policies and procedures; initiates any actions necessary to correct deviations or violations.
  • Participates in Facilities and Services Coordinating Council meetings where appropriate and as directed. Operates a computer to enter, retrieve, review, or modify data; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, or other programs; performs basic maintenance of computer system and office equipment, such as backing up data or replacing paper, ink, or toner; coordinates service/repair activities as needed.
  • Ensures that all work is carried out in a safe and efficient manner
  • Performs other duties as assigned/needed
  • Maintains a positive attitude with team/unit

SCOPE, PURPOSE, AND FREQUENCY OF CONTACTS:

The incumbent will have frequent contact with vendors, Materials Distribution staff, and all nursing and ancillary departments concerning inventory distribution activities.

DIRECTION/SUPERVISION RECEIVED:

Manager of Materiel operation. Supervisor of Materials Distribution

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High School diploma required. An Associate Degree or equivalent preferred. Business curriculum is desirable
  • One to three years hands on experience with computerized Inventory management systems are highly desirable. Three to five years experience in a hospital or industrial Materiel Management function would be desired.
  • An equivalent combination of education and experience may be substituted.

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

  • Knowledge of Materials Management System or equivalent
  • Project Management, oral and written communication skills as well as the ability to train others.
  • Ability to assess and prioritize tasks
  • Demonstrated ability to work with multi-disciplinary department heads, nurse managers, supervisors, etc. in a professional manner

PHYSICAL DEMANDS:

Individual must be able to lift at least 50 lbs. And be able to pull approximately 2000 lbs.

WORKING CONDITIONS:

Frequent exposure to dirt, debris, noise, and inclement weather.
