PRIMARY PURPOSE: Works under general supervision of Manager, Finance, providing support in financial and administrative aspects of restricted grants, including donor billing and net asset release and documentation. Coordinate the day-to-day workflow of the finance area to support management of donor awards, restricted grants, employee listing and payroll allocation, ensuring timely and accurate internal and external financial and accounting reporting.
Primary Responsibilities
Budget and Budget Software (BERTA)
Assist in managing and monitoring budget software (BERTA). Speak directly with Board and CRG consultants to coordinate BERTA issues.
Assist with the annual budget and reforecast process for the organization.
Maintain staff tracking for entry or upload into BERTA.
Maintain the budget software user guidelines and user permissions.
Grant Proposal, Financial and Other ReportingDraft, process and finalize donor financial reports
Draft donor financial reports utilizing data from Great Plains, donor reporting templates, and various worksheets needed to calculate the reported information
Identify issues and errors that need to be tracked and resolved
Ensure compliance with donor reporting requirements
Grant Proposal, Financial and Other ReportingPrepare and maintain restricted grants tracker to ensure proper coverage in personnel costs and other than personnel costs.
Assist in preparation of restricted grants report for regular meetings participated in by Operations, Program, Finance and Development departments.
Maintain net asset release schedule and work with Donor Systems to ensure accuracy and completeness of relevant supporting documents.
Assist in donor audits by preparing schedules and getting documentation.
Manage Finance site in share point to ensure that all internal final reports, such as Dashboard are posted for users’ reference.
Enter and maintain staff allocation in ADP for payroll entries. Coordinate with HR in resolving issues related to employee IDs, cost centers in ADP.
POSITION SCOPE: Perform specialized functions to achieve assigned objectives, applying independent analysis and insight.
DECISION MAKING/PROBLEM SOLVING: Identify and analyze problems or discrepancies affecting own work or work products. Verify and analyze facts, then implement solutions based on knowledge of procedures or logic.
FISCAL RESPONSIBILITY: Responsible for ensuring City Harvest resources are used effectively and that assigned expenses and revenue reflect accurate figures.
Relationships
Internal Contact: Regular contact with Finance team and departmental staff to ensure accuracy of data.
External Contact: Regular contact with CRG (budget software – BERTA consultant) to share information and help in resolving issues with the software.
COMMUNICATIONS: Work as a team player on Finance team and with colleagues throughout the organization. Research and compile information from various sources.
Position Requirements
Education: Associate degree in accounting, finance, or quantitative field, bachelor’s degree preferred
Experience: One to three years of work experience
Related Skills or Knowledge:Familiarity with general accounting and donor reporting
Understanding of government and other donor rules and regulations preferred but not required
Good communications skills and ability to function as a team player
Advanced computer skills, including advanced knowledge of Microsoft Excel; experience working with accounting and budget software a plus
Attention to detail, highly organized, proven ability to meet deadlines and manage multiple tasks and deadlines
Physical Requirements/Work Environment
Expected to be able to work remotely until the organization moves administrative staff to the new facility in Sunset Park. At that point, expectation is minimum of 1 day per week in person.
