About Permian Basin

Permian Basin is a large region encompassing the majority of West Texas. When you think of the Permian Basin, think oil country, Friday Night Lights, sunny days and gorgeous sunsets. The two major cities that IDEA Public Schools will serve are Midland and Odessa, located about 15 miles from each other and situated almost exactly halfway between El Paso and Fort Worth. Role Mission: The Campus Business Manager provides high-level administrative and business support to the Executive Principal by anticipating and responding to all of the detailed work that it takes to operate a complex charter partnership school budget. This role will partner with campus leaders, national partners in the business office, and partners with the local school district as a part of the charter partnership. The Campus Business Manager will ensure that the campus finances, logistical scheduling, and all other needs are met for the campus to be successful.

Accountabilities

Manage Campus Budget

  • Monitor the campus discretionary budget so that the fiscal year ends on target (or with a surplus)
  • Manage campus activity and student activity funds
  • Design and oversee adherence to office policies and procedures
  • Submit accurate campus discretionary budget requests in Tyler Munis by Business Office provided deadline
  • Manage current discretionary budgets, inform Executive Principal regarding the financial state of their school, and work to ensure campus financial goals are met and schools end the year with a surplus or on target
  • Reconcile negative discretionary budget accounts monthly by the 8th business day
  • Partner with local school district and national business office partner to ensure budget accuracy throughout the year
  • Build and update rosters for the upcoming fiscal year, identify and correct errors, and make revisions based on changes throughout the process
  • Procurement best practices are followed and in compliance of local and legal policy
  • 100% of requisitions entered in Tyler Munis within 2 business days of initial request from campus staff
  • 100% of all goods or services are received in Tyler Munis within one business day of delivery and 100% of receiving record(s) are attached in the Tyler Munis system
  • Procure all goods or services with an approved purchase order
  • Reconcile 100% of P‐card(s) assigned weekly and reconcile all statements by the 2nd business day of the following month
  • Lead beginning of year training to campus staff on procurement policies procedures for good or services, including student travel for field lessons, short-term rentals, and food for students and staff

Guide Executive principal in meeting the Earnings before Interest, Depreciation and Amortization (EBIDA) target for their school

  • Share high quality reporting and analysis that assists Executive Principal and campus leaders in understanding the impact of monthly and year-to-date budget to actuals
  • Drive the creation and update of rolling forecasts in partnership with school and regional/national leaders to ensure the school will meet annual EBIDA targets

Manage Executive Principal’s emails to ensure that 95% of emails are responded to within 24 business hours.

  • Maintain executive’s appointment schedule by planning, scheduling, and confirming meetings, conferences, teleconferences, and travel
  • Record, track, and communicate follow-up from meetings
  • Conserve executive’s time by reading, researching, and routing email and other correspondence; drafting written communications; completing reports; collecting and analyzing information as needed Track weekly goal achievement on data board

Primary liaison between MISD and IDEA

  • Ensure all funds are accounted for and spent according to the funding source through MISD.
  • Build a strong partnership with MISD finance team.
  • Hold regular touchpoints with MISD partners and report back to Executive Principal

Qualifications

  • Education: Bachelor’s degree or equivalent
  • Experience: Minimum 1 yr. managing complex budgets
  • Experience managing projects with multiple inputs and multiple stakeholders
  • Proficiency with Microsoft Office, specifically Outlook, Word, Excel, and Powerpoint

Compensation

  • Salaries for this role typically fall between $58,180 and $69,234 commiserate with relevant experience
  • Housing and relocation stipends available for those relocating to the region
