Context & Mission

Médecins Sans Frontières is an independent, international medical and humanitarian organization that provides care to people in need, people affected by natural or man-made disasters, and victims of armed conflict, without discrimination and without regard to race, religion, creed or political affiliation (MSF Charter).

DREAM is a CRM system based on MS Dynamics 365 with a donor base of more than 1M records. DREAM is in its second phase of development. Based on a core that was implemented through the 1st phase of the project is now live, a whole new set of applications is now under development. This 2nd phase of DREAM includes the integration of new functionalities across all the different fundraising disciplines and business units that require the creation of new processes and the revision of the existing ones. To this end, we are looking for a business process officer to join the DREAM Project team. The position is hierarchically accountable to the DREAM Project Manager.

As a business process officer, you will be responsible for examining, producing and optimising business processes connected to the management of the DREAM system. You will also be documenting current and new processes, recommending improvements, promoting and ensuring adherence to processes, and evaluating the efficiency of changes made aiming at the success of the DREAM project and ultimately, at enhancing the overall productivity of internal processes in the fundraising unit.

Responsibilities

  • Design a business process management system and method in line with the strategic objectives of fundraising in MSF and in particular, with the objectives of the DREAM project.
  • Review existing business processes and considering the recommendations from the internal audit report, identify priority areas for improvement and the corresponding working plan and timeline.
  • In collaboration with fundraising teams, lead the design and revision of business processes, making proposals for streamlined and efficient solutions that respond to business needs and priorities and are aligned with the DREAM project objectives.
  • Facilitate communication between different teams to address process dependencies and optimize collaboration.
  • Coordinate all aspects related to the implementation of business process improvement initiatives.
  • Ensure timely completion of assigned tasks by following up with the responsible team members.
  • Assess and monitor changes made to business processes, making adjustments as necessary to ensure consistent project execution.
  • Create and maintain documentation of current and new processes, including process maps, workflows, and standard operating procedures (SOPs) and guidelines.
  • Develop and implement a process documentation and updating system that ensures accessibility for team members and facilitates easy retrieval of information.
  • Conduct continuous analyses of business processes focusing on productivity, quality, costs, and time management.
  • In coordination with the DREAM project manager, identify potential risks within business processes and develop mitigation strategies.
  • Produce progress reports and integrate feedback for continuous improvements.
  • Revise and update procedures and policies as needed.
  • Define key performance indicators (KPIs) to measure the effectiveness of business processes and set regular reporting plan to monitor process performance and identify trends and areas for further improvement.

Your Profile

Education & Experience

  • A master’s degree in business management, project management, or in a related field.
  • At least two years’ experience in business process management in Fundraising or NGO.
  • Strong analytical and problem-solving skills with the ability to interpret complex data and trends.
  • Strong knowledge or certification in lean management
  • Proficiency in process management software
  • Proven experience with the Dynamics 365 is a strong plus.
  • Knowledge in fundraising is a strong plus.

  • Excellent collaboration, and interpersonal skills.
  • Excellent written and verbal communication skills with the ability to convey complex ideas to both technical and non-technical stakeholders.
  • Strong influencing skills to effectively collaborate with cross-functional teams.

  • Advanced knowledge of Microsoft Office software, including Power BI.
  • Highly organized with strong project management skills.

Languages

  • Fluency in English is required (written & spoken)
  • French is a real asset (written & spoken)
  • German or italian is a plus

Terms of Employment

  • Part-time position 80% (32h/week)
  • Fixed-term contract, 10 months
  • Working place: Geneva
  • Ideal start date: February 15th, 2024
  • Gross monthly salary (for 80%): from CHF 5’767,20.- to CHF 6’640,80.- (salary commensurate with equivalent experience and internal salary grid)
  • Paid vacation: 25 days per year, prorate temporis, plus any Swiss public holidays falling within the contract period.
  • Pension plan: pension contribution covered 3/4 by MSF, 1/4 by staff member
  • Relocation package if moving from a different country to Switzerland.
