ABOUT THE OPPORTUNITY

Internews’ Multi-Regional Programs Management Unit (MR/PMU) is seeking a full-time Business Associate to support the Greater Internet Freedom (GIF) project. GIF is a global Internet Freedom initiative funded by USAID operating across approximately forty countries and aimed at enhancing digital security for civil society and media organizations, engaging citizens in digital rights policy, and advancing human rights online.

In this position, the Business Associate will fill a unique, multi-faceted role that offers the opportunity to develop and refine skills in business operations, grants administration, and project management. The Business Associate will report directly to the Business Manager, playing a critical role on the GIF team, taking direction from the program’s Chief of Party and supporting project needs. As a member of the Department’s Business Operations Team, the Business Associate will be a core member of a 4-person team supporting administrative and financial responsibilities across the MR/PMU. This position requires excellent written and oral communication skills, strong attention to detail, a capacity for organization, dedication to keeping things moving and on track, the ability to prioritize competing tasks, ability to take initiative, a voracious desire to learn, as well as the capacity to provide constructive, creative solutions and guidance to both project and department-wide team members.

LOGISTICS

Internews has US offices in Arcata, CA and Washington, DC which support a hybrid workforce with staff working remotely, fully in-office or partially remote. Ultimately this position may work remotely from the US, partially remote from our Washington, DC office, or fully in-office for candidates based in the DC area.

DAY-TO-DAY TASKS will include:

Grants Administration and Compliance

  • Support the Business Manager and GIF program team to manage the full lifecycle of Project Administered Subgrants (PASS), including:
    • Compile and review all forms and documentation related to PASS
    • Ensure subgrants are in full compliance with the funder’s requirements
    • Provide clear and regular communications with partner organizations regarding PASS
    • Draft agreements and modifications for project-administered subgrants
    • Track and file subgrant-related data including quarterly reports, cost share, host government taxes, financial status, year-end subgrant cash, contributions to monthly subgrant accrual process, etc.
  • Communicate regularly with with headquarters’ business administration teams (Finance and Accounting, Audit, People & Culture, etc.) thus ensuring project-level financial management and reporting complies with Internews policy and funder regulations, specifically US Government regulations
  • Support new staff onboarding and training

Administration & Finance

  • Providing administrative support to ensure that program implementation complies with funder requirements and Internews’ policies and procedures
  • Ensuring the smooth processing of contracting and payment requests and financial compliance by communicating regularly with headquarters’ Accounting and Administration teams
  • Preparing invoices, wire transfer requests, expense reimbursements
  • Process payments and expense recodes in coordination with Internews’ Accounting department, ensuring proper coding in accordance with funder requirements and internal policies and procedures
  • Compiling forms and documentation related to PASS subgrants, including payments and reports
  • Assisting with the implementation of contracts
  • Perform other duties as needed, in close consultation with the Business Manager and the GIF Chief of Party

QUALIFICATIONS WE’RE LOOKING FOR

Required

  • Prior professional experience, preferably in a nonprofit setting
  • Bachelor’s Degree or equivalent experience required
  • Demonstrated ability to explain complex concepts to those who are unfamiliar with them
  • Experience preparing and/or tracking expense reports and budgets
  • Strong organizational skills and attention to detail
  • Superior analytical ability
  • Proven ability to multi-task and prioritize a shifting workload
  • Proven ability to operate effectively in a multicultural environment

Preferred Qualifications

Note: Candidates who do not have these preferred qualifications, but are interested and willing to learn, are encouraged to apply.

  • Working a knowledge of US government regulations and compliance issues
  • Knowledge of finance and accounting best practices, procedures and administrative practices, including Generally Accepted Accounting Principles (GAAP)
  • Proficiency in languages other than English
