Job description

The role involves assessing and meeting the organisation’s needs through the recruitment, placement and retention of volunteers. This includes on-boarding them in the projects and training them too. After welcoming volunteers with different baggage and experience, we expect the Volunteer Coordinator to support them throughout their Collective Aid experience and promote safe working practice and a welfare environment.

The Balkan Volunteer Coordinator should be one of the most flexible members of Collective Aid. Their work requires presence in three locations (Subotica, Belgrade, and Sarajevo), so part of the work is traveling to other locations to work with the teams on the ground and cater to the needs of those teams too, so all the Balkan projects receive equal support.

Conditions

STIPENDED POSITION: 300€/month

Sharing house and room with small teams at volunteer houses.

Responsibilities and Expectations

1. Ongoing recruitment and placement of volunteers for Sarajevo, Belgrade and Subotica through various platforms.

2. Liaising with Programs Managers and Project Coordinators to assess skills needed and ensure they are utilized and met across all locations.

3. Daily management of volunteers, including scheduling for all locations and house logistics for the location where the coordinator is based.

4. On-boarding and welcoming of volunteers, focusing on briefings and logistics in the location where the coordinator is based.

5. Monitor and develop the experience and satisfaction of volunteers who work with us and make changes as needed to adapt to the needs of the group

6. Provide a safe and healthy working environment, fostering welfare practices, which can include: expression sessions and managing and booking appointments with RRC (an organization offering PSS sessions for all team members).

7. Provide the individual with regular feedback and support on tasks and responsibilities.

Tasks (detailed)

Daily Tasks

  • Responding to enquiries from potential volunteers (via email, text, and the form) for all locations
  • Monitoring debriefs and security incidents for suggested changes that will impact the schedule (number of team members, timings, etc.)

Weekly Tasks

  • Schedule for the location when they are based (using the schedule request form)
  • Arranging briefings, training, and RRC appointments
  • Attending the CA Coordination meetings for BiH and Serbia
  • Regularly checking the relevant email addresses

Ongoing

  • Incoming/outgoing volunteer protocol (Welcome pack, logistic details, exit pack, etc)
  • Keeping all the housing spreadsheets up-to-date (booking new volunteers in, extending stays)
  • Have regular meetings with both Programs Managers to ensure skills and volunteer needs are being met
  • Making sure briefings and onboarding are up to date in all locations
  • Maintaining links with the Calais Volunteer Coordinator
  • Checking in with and supervising the Welfare Facilitator
  • Liaising with the Program Managers (particularly regarding aspects of wellbeing/experience here that could impact their performance or the projects
