Details of Employment:

The Associate Project Manager, CIPHER will be based in Geneva, Switzerland and report to the Project Manager, CIPHER. The position is full-time and fixed-term to start as soon as possible until the end of August 2023, with a potential extension pending funding.

Purpose of the Position:

The incumbent will support the project management and administration of the Collaborative Initiative for Paediatric HIV Education and Research (CIPHER), and provide support for the Capacity Development and Engagement team.

Main Responsibilities:

  • Contribute to the organization of capacity building opportunities for CIPHER change makers (grantees and fellows), for example, Evidence to Action Forum.
  • Contribute to identify opportunities for CIPHER change makers (grantees and fellows) to showcase their work and to engage with policy makers and implementers.
  • Ensure grantees and early-career consultants receive relevant mentorship support and guidance during their engagement with the IAS.
  • Contribute to the smooth running of virtual, hybrid and in-person events by inviting speakers, organizing travel, venues and catering, coordinating audio visual recordings, and supporting the documentation of meetings.
  • Schedule virtual and in-person project collaboration meetings, support development of meeting agendas and document meeting minutes.
  • Administer contracts, process invoices and other agreements with sub-award recipients, consultants and other partners, including tracking timelines, deliverables and expenditures.
  • Maintain up-to-date budgets and expenses, for internal monitoring and planning and updating the internal budget system.
  • Support writing donor reports and grant proposals.

Perform any additional tasks to support the smooth running of activities conducted by the Project Manager, CIPHER, and provide cross-team support as needed.

Academic Qualifications:

  • A degree in public health, international development, business, business administration, hospitality management, project management, or a related field or relevant work experience

Work Experience:

  • A least 2 years’ experience in a similar position; preferably working in global health or development at an international level
  • Experience coordinating virtual, hybrid and/or in-person meetings or events including logistics and booking international travel
  • Experience coordinating and administering projects and working across functional areas
  • Experience in taking minutes and writing reports in English a strong asset
  • Experience overseeing budgets and updating financial records a plus
  • Experience working with external partners, donors, service providers and/or consultants an advantage
  • Experience working with fellowship and grant programmes is an advantage
  • Although not essential for this position, the IAS acknowledges the value of the experience of living with HIV and will consider this when evaluating applications.

  • Basic understanding of global health challenges, including those specific to people living with and affected by HIV
  • Ability to deal with numerous tasks simultaneously and prioritize
  • Track record of an evaluation mindset and being data-driven
  • Ability to work independently and take initiative
  • Good time management, organizational skills and communication skills
  • Meticulous attention to detail
  • Customer-service attitude
  • Ability to work under pressure in an international context
  • Strong computer skills in the Windows environment and in utilizing virtual meeting platforms
  • Ability to travel internationally in the future (potentially 1-2 business trips per year)
  • Demonstrated interest in paediatric health and research in Africa is a plus.

Languages:

  • Excellent written and oral English language communication skills. Another language, particularly French and/or Portuguese is an asset.
