Details of Employment:

The Associate Officer, HIV Programmes and Advocacy will be based in Geneva, Switzerland and report to the Senior Project Manager, HIV Prevention Research and Development. The position is open-ended and full-time to start as soon as possible.

Purpose of the Position:

The Associate Officer, HIV Programmes and Advocacy will provide administrative, finance and logistic support to the management and implementation of a portfolio of HIV-related programmes in the HIV Programmes and Advocacy Department at the IAS – International AIDS Society.

The Associate Officer will support a range of well-established IAS programmes that are contributing to crucial areas in the HIV response, including the IAS Corporate Partnership Programme which promotes and facilitates the full contribution of the biomedical industry to the global HIV response; the Towards an HIV Cure initiative which drives concerted efforts to accelerate global scientific research and engagement towards a cure for HIV; and the Global HIV Vaccine Enterprise, which is an alliance of funders and stakeholders committed to the development of, and future access to, an HIV vaccine.

The Associate Officer will also directly support the smooth running of the department through operational processes such as managing signatory and acting as a key liaison for the department within the IAS, for example with regard to communications and monitoring, evaluation and learning.

Main Responsibilities:

Administration and Finance

  • Organize workshops, meetings and teleconferences including preparing supporting documents, taking minutes and following up on action points and logistical arrangements, as required.
  • Organize travel arrangements for staff, consultants and external partners.
  • Administer contracts with consultants and other partners.
  • Administer sub-award and other agreements, tracking timelines, deliverables and expenditures.
  • Maintain up-to-date project budgets for internal monitoring and planning; supporting the creation of estimates to ensure appropriate expenditure of grants; and updating the internal budget system.
  • Provide input for donor reports and grant proposals.
  • Coordinate and collaborate with colleagues in other teams to facilitate good communication, and coordinate joint projects.

Project Management

  • Work closely with other team members to facilitate the execution of specific work plans, including tracking deliverables and monitoring key performance indicators related to objectives, timelines and expenditures.
  • Support the Senior Manager, Biomedical HIV Science and Project Managers, in drafting and revising progress reports and documentation to donors.

Communication

  • Support the communication, outreach and marketing of activities of the department, in collaboration with the IAS Communications and Public Affairs department.
  • Support the expansion of and upload new content to specific project websites.
  • Provide administrative support for specific science and industry publications.

Perform any additional tasks as requested by the Senior Project Manager, HIV Prevention Research and Development and the Senior Manager, Biomedical HIV Science; and provide cross-team support as needed.

Academic Qualifications:

  • A degree in health sciences, development studies, business administration, or a related field, or relevant work experience.

Work Experience:

  • A least 2 years’ experience in a similar position; preferably working in global health or international development or with a professional society
  • Experience administering projects and working across functional areas
  • Experience overseeing budgets and updating financial records
  • Experience working with external partners, donors, service providers and/or consultants
  • Experience coordinating conference and/or large meeting logistics, seminars, workshops or other meetings, including international travel and/or virtual meeting arrangements
  • Although not essential for this position, the IAS acknowledges the value of the experience of living with HIV and will consider this when evaluating applications.

Skills/Competencies:

  • Highly organized, systematic and detail oriented
  • Ability to work independently and an aptitude for multi-tasking, and the ability to work efficiently under pressure
  • Strong written and oral communication skills
  • Cross-cultural interpersonal skills and a sense of diplomacy
  • Computer literate with good knowledge of Microsoft Office software; familiarity with teleconferencing services, web content management systems
  • Interest or background in HIV
  • Interest or background in communicating science, including through digital platforms
  • Ability to travel internationally (1-2 business trips per year).

Languages:

  • Advanced level of spoken and written English, knowledge of other languages is an asset.
